Position Overview
We are seeking a highly organized, service-oriented Receptionist, Clinic Administrator who thrives in a dynamic, fast-paced
wellness environment. This hybrid role is essential in ensuring the day-to-day excellence of our client experience, supporting clinicians and fitness teams, and maintaining the smooth operation of the clinic. The ideal candidate has a passion for client care, is comfortable multitasking between front-desk duties and back-end operations, and brings a proactive, can- do attitude to every task.
Key Responsibilities
-Client Experience &Clinic Coordinator;
-Front Desk: Greet clients with warmth and professionalism to create a concierge-level, welcome experience.
-Answer phones, texts, and emails promptly and knowledgeably.
-Manage client check-ins and check-outs, handle retail purchases, and schedule appointments.
-Ensure the front desk, lounge, and retail areas are clean, organized, and fully stocked.
-Client Management &Clinic Administrator; Scheduling: Manage appointment bookings across various services including fitness, IV therapy, diagnostics, and therapeutic services.
-Maintain up-to-date client records and communicate scheduling changes or confirmations.
-Provide reminders, follow-ups, and personalized communications to support retention and satisfaction.
-Clinic Support; Coordination: Support clinicians, personal trainers and the owner by ensuring rooms are prepared, inventory is stocked, and daily schedules are optimized.
-Liaise between fitness coaches, wellness providers, and administrative team to ensure a seamless experience.
-Support new client onboarding and follow-up with returning clients to ensure service satisfaction.
-Assist in ordering supplies, managing deliveries, and helping with events or partner activations.
-Technology & Clinic Operations: Utilize booking and POS systems such as Zenoti, Boulevard, or similar tools.
-Maintain digital accuracy in client files, services, memberships, and packages.
-Troubleshoot minor tech issues and support system organization and reporting.
-Support nursing staff and CEO on clinic tasks, client needs
-Work with vendors, shipping carriers and providers
Qualifications
-Prior experience in a wellness clinic, luxury gym, medical spa, or fitness setting preferred.
-Working knowledge of Zenoti, Boulevard, or other appointment and client management platforms is a major plus.
-Exceptional communication, multitasking, and customer service skills.
-Positive attitude, attention to detail, and a commitment to excellence.
-Professional appearance and demeanor aligned with a high-touch wellness
brand.
-Ability to adapt to a changing environment and prioritize effectively.
