Job Summary: Performs a wide range of administrative and office support activities to facilitate the efficient operation of the company, office activities and workflow. This is a FAST pace environment. Daily tasks change frequently and hourly. Must be able to adapt to change. No work day will be the same. Must be able to multi-task. Must be able to take direction from several Supervisors.
Responsibilities:
Action Oriented: Attract opportunities/issues proactively and resolve problems as they arise
Communicates Effectively: Communicate clearly and respond effectively with appropriate tone through various mediums (written and verbal)
Manage competing priorities to follow-through on commitments and communicate with others transparently
Take direction and cues from others to determine when to adjust approach to a situation and learn to be flexible to complete assignments.
Provide high-level administrative support to multiple executives across different entities.
Book and manage travel arrangements for band members and executives, including flights, accommodations, and ground transportation.
Utilize project management tools to track and oversee various projects, ensuring deadlines are met and objectives are achieved.
Manage and coordinate executive calendars, schedule meetings, and handle appointment bookings.
Serve as a liaison between executives and internal/external stakeholders, maintaining clear and effective communication.
Be prepared to travel as needed to support executive needs and attend relevant events.
Adapt to changing priorities and tasks, maintaining a flexible schedule as required.
Willingness to travel and adapt to a flexible schedule.
Exceptional multi-tasking abilities, excellent communication skills, and a positive, upbeat attitude.
Anticipate and follow-through on customer needs and use feedback to improve customer service
Manage custom orders. And organize plan of action. Communicate with customer (orders, meeting notes, etc.)
Greet and support visitors to our studio.
Provide high level of client service and interaction (answer phone, sales, appointments, etc.)
Accurate and timely data entry
Required Skills/Abilities:
· Excellent verbal and written communication skills.
· Excellent organizational skills and attention to detail.
· Excellent time management skills with a proven ability to meet deadlines.
· Ability to function well in a high-paced and at times stressful environment.
· Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
· Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
Achieved minimum high school degree, some college ideal
