We are seeking a highly experienced office assistant for C-level support who can also maintain various recurring office responsibilities.
The successful candidate will be mature, possessing a very calm and pleasant demeanor with a good energy work ethic. Must be comfortable interfacing with diverse backgrounds and accents, as well as exhibit a highly professional manner with our healthcare customers (doctors, therapists).
Must be expert level with QuickBooks: Posting, General Ledger, A/P and A/R, establish tables of accounts, and assign entries to proper accounts. Payroll reporting, Open, prepare, and post invoices. Prepare P/L, monthly reconciliation, and financial reports. Generate budget reports, inventory reports, Purchase Orders, WC Audits, and sales tax filing.
Ability to handle paperwork, maintain accounting files, and interface as needed in an office setting. Must be an organized self-starter proficient in Excel
Skill set must include high-level expertise with QuickBooks Desktop and Outlook, and high competency with Excel.
Must be highly organized and derive pleasure from helping others get organized.
Must be effective at calendaring responsibilities and assuring timely performance of insurance renewals, business filings, payroll reporting,
Opening, maintaining files, process incoming/outgoing mail
Match packing slips with invoices
Support product inquiries submitted through our website
Assist with workers' comp claims handling, employee manual updates
Draft memos, meeting minutes, correspondence,
Assist with phone accounts, wifi issues, and other office maintenance
Interface with inventory personnel to create/track reports
