Executive Assistant to the CEO

Job Overview: We are seeking a proactive and highly organized Executive Assistant to support our CEO in both professional and personal capacities. The ideal candidate will be a trusted partner, able to manage a diverse range of tasks while maintaining a high level of confidentiality and professionalism. This role requires exceptional communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

Administrative Support:

o Support to CEO

i. Manage the CEO's calendar, scheduling meetings, and coordinating appointments.

ii. Prepare and organize materials for meetings, including agendas and presentations.

iii. Draft and edit correspondence, reports, and other documents as needed.

o Handle travel arrangements, including flights, accommodations, and itineraries.

i. Travel Management: Organizing and coordinating international travel, including flights, accommodations, and itineraries, often on short notice.

ii. Communication: Liaising with vendors, service providers, and team members to ensure all travel needs are met efficiently.

iii. Travel Points Management: Candidates must be adept at handling multiple travel points accounts and loyalty programs. The ability to efficiently manage and optimize these accounts for travel rewards and benefits is crucial for this position.

Personal Assistance:

o Assist with personal tasks such as household management, event planning, and gift procurement.

i. Special Occasions Tracking: Keeping track of team members’ birthdays, anniversaries, and other significant dates to facilitate thoughtful gift-giving and celebrations.

ii. Gift Tracking: Candidates must be adept at handling multiple travel points accounts and loyalty programs. The ability to efficiently manage and optimize these accounts for travel rewards and benefits is crucial for this position.

o Coordinate commitments and appointments.

o Conduct research and provide insights for personal projects or interests.

Communication Management:

o Serve as the primary point of contact for internal and external contacts.

o Screen and prioritize communications, ensuring timely responses.

o Facilitate communication between the CEO and other team members.

Project Management:

o Support special projects and initiatives as directed by the CEO.

o Monitor management plans and advise the CEO on their status, ensuring that key objectives are met.

o Keep the CEO apprised of important dates, deadlines, and milestones.

o Help implement the Employee Ownership Trust (EOT) initiative, including coordination and communication with relevant stakeholders.

Confidentiality and Discretion:

o Handle sensitive information with the utmost confidentiality and integrity.

o Build trust and rapport with the CEO and other team members.

Qualifications:

Bachelor’s degree or equivalent experience in administration or business management.

3+ years of experience as an executive assistant or in a similar role preferred.

Exceptional organizational skills and attention to detail.

Strong written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.

Ability to prioritize tasks and manage time effectively.

High degree of professionalism and discretion.

Opportunity for increased compensation of 18-20% if the following metrics are met:

Regular travel is not required but, the ideal candidate must be willing and able to travel domestically & internationally at a moment’s notice. Flexibility and a readiness to adapt to changing schedules are essential for this role, as travel may be required on short notice to support our team's needs. Willingness to travel during certain times of the year between two company locations in different states.
