Job Title: Administrative Assistant with Bookkeeping Background

Job Type: Temp to Hire 3-6 Month with possibility to hire.

Job Summary: We are seeking a diligent and detailed-oriented Administrative Assistant with a strong background in bookkeeping to join our team. The ideal candidate will provide comprehensive administrative support while handling various bookkeeping tasks to ensure the smooth and efficient operation of our office.

Key Responsibilities:

Perform general administrative duties including answering phones, managing correspondence, scheduling appointments, and maintaining office supplies.

Handle bookkeeping tasks such as processing invoices, managing accounts payable/receivable, preparing financial reports, and maintaining accounting records.

Assist in the preparation of financial statements and budgeting reports.

Support payroll processing and ensure timely and accurate payment of employees.

Coordinate meetings, prepare agendas, and record meeting minutes as required.

Maintain organized digital and physical filing systems for easy access and retrieval of documents.

Assist in the preparation and submission of tax documents, ensuring compliance with relevant regulations.

Provide support to other team members and departments as needed.

Ensure high levels of confidentiality and discretion in handling sensitive information.

Qualifications:

High school diploma or equivalent required; associate or bachelor’s degree in business administration, accounting, or related field preferred.

Proven experience as an administrative assistant with a bookkeeping background.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and accounting software such as QuickBooks or similar programs.

Excellent organizational and multitasking abilities.

Strong attention to detail and accuracy in handling financial records.

Good understanding of accounting principles and financial regulations.

Strong interpersonal and communication skills.

Ability to work independently and as part of a team.
