Description
Greet and welcome visitors, clients, and employees as they enter the premises.
Answer, screen, and direct phone calls, taking messages when necessary.
Maintain a clean and organized reception area.
Perform basic administrative duties such as scheduling appointments, managing calendars, and booking meeting rooms.
Receive and sort mail and deliveries, distributing them to appropriate departments or individuals.
Handle incoming and outgoing office correspondence.
Assist with filing, data entry, and other clerical tasks as needed.
Provide general information about the company’s services and policies.
Assist visitors with signing in, issuing visitor badges, and providing necessary instructions.
Maintain security by following procedures for visitor check-in and issuing security passes.
Manage office supplies and place orders as needed.
Coordinate with other departments to ensure seamless office operations.
Assist with event planning, such as scheduling meetings or coordinating special office events.
Perform any other administrative tasks as required by management.
Requirements
Qualifications:
High school diploma or equivalent; additional certification or training in office administration is a plus.
Previous experience in a receptionist or customer service role preferred.
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Ability to multitask and manage time effectively.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Friendly and professional demeanor with strong interpersonal skills.
Ability to maintain confidentiality and handle sensitive information.
