In addition to the management team, this position will also provide support for the hourly Union Cast Members.ResponsibilitiesEvery day in this role is different! On any given day you might:
Thoughtfully manage complex calendars
Proactively resolve problems and pitch in to help
Coordinate onboarding/offboarding of team members
Process and track payments to vendors using Coupa
Process Expense reports in Concur
Maintain management schedules and track team time off using Labor Reports in SAP
Request Locknetics and Traka access
Plan recognition and team events
Order supplies and equipment along with other office management duties
Manage project tracking and follow-up
Prepare reports to be shared with leaders
Compose correspondence on behalf of leader
Schedule and host Teams meetings which could include presentation sharing
Basic RequirementsHere’s what you will need to be successful in the role:
Proven success partnering and interacting with all levels of Cast Members/Employees including Executive Leadership
Prior work experience in a support or administrative role
Strong proficiency with standard office tools such as Microsoft Outlook, Word, PowerPoint, Excel
Generally tech savvy and willing to learn new skills
Professional and highly discreet while maintaining absolute confidentiality
Effective communication skills, including diplomatic and professional handling of telephone and email communications
Ability to be pro-active, resourceful, flexible, and responsible
Ability to take initiative and anticipate needs
Extremely well organized and attentive to detail
Demonstrated problem solving skills, as well as continuous improvement process skills
Strong time management skills along with the ability to be flexible with daily tasks and the ability to prioritize the daily/weekly/monthly workload
Demonstrated effectiveness in a team environment
Preferred RequirementsIt would be a plus if you also had these skills:
Prior experience supporting at the Sr. Manager level
Experience working with MyTime, Concur, Coupa, and SAP
Willingness to learn new software applications
Demonstrated ability to manage conflict resolution
Walt Disney World experience in a Sec 1 position
