Bowman Heating & Air Conditioning, locally owned and operated since 1987 is seeking a highly organized and detail-oriented Office Administrator to support our fast-paced environment. This role is a key connector between our Clients, Administrative Assistant, Technicians, Installers, Project Manager and Project Estimator.
About the Role
As Office Administrator, you will play a central role in the customer experience, answering phones, entering work orders, managing invoices, handling payments, Insurance requirements and ensuring timely communication between clients and internal teams.
Key Responsibilities
Serve as the first point of contact for clients—greeting visitors, answering phones, tasking your assistant and managing email communication with professionalism and care.
Help resolve costumer complaints and service concerns
Handle incoming payments, track billing, and maintain accurate financial records.
Maintain both physical and digital filing systems for client records, employe records and job documentation.
Support office operations including calendar scheduling, supply inventory, and administrative support.
Proofread materials and correspondence for accuracy before finalization.
Qualifications
Proven experience in an administrative customer service role.
Strong communication skills with the ability to clearly convey information between staff and clients.
Proficiency in Microsoft Word, Office, Google Workspace, and familiarity with Adobe (or similar).
High attention to detail, especially in data entry.
Ability to manage multiple tasks and deadlines with efficiency.
Comfort working in a construction-based environment.
