Job Overview:
The Special Projects Administrative Assistant will play a key role in enhancing our operations' efficiency by providing administrative support, managing special projects, and facilitating communication among team members. This position requires a reliable individual who thrives in a fast-paced environment and possesses strong organizational and bookkeeping skills.
Key Responsibilities:
Prepare and send out proposals and quotes to local vendors.
Organizes subcontractor documents.
Orders materials utilizing Purchase Orders. Contact vendors for equipment rentals, orders parts and materials.
Manage and track service project-related paperwork
Resolve questions or issues pertaining to independent contractor billing
Complete tasks on project plans, as required
Perform other related duties and special projects as assigned
Support the project team with various administrative tasks as needed
Qualifications:
Bilingual (English/Spanish) is a plus
Minimum of 2 years working for mid-size company. Preferably in the construction industry a plus.
Excellent communication, time management, and organizational skills
Comfort with multi-tasking, prioritizing, and working in a demanding environment
High self-initiative with the ability to work well under pressure and adapt to constantly changing environment
Ability to perform effectively in environments with frequent workload changes and competing demands
Excellent attention to detail, ensuring accuracy and thoroughness in all aspects of the job
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Intermediate Excel used is preferred
Ability to work well with all levels of management and staff
Ability to handle sensitive information with discretion
Your role will involve handling administrative tasks, supporting project managers, and ensuring smooth office functionality
Must be Reliable and available to work 7:00am to 3:30pm, Monday through Friday in office.
QuickBooks experience is a major plus.
