Description We are looking for an Administrative Assistant to join our team in Fort Lauderdale, Florida. This role involves a range of administrative duties supporting the operations of our virtual accounting firm. The chosen candidate will be an integral part of our team, managing client communications, assisting with technical documentation, and handling data management tasks. This role offers a contract to hire employment opportunity.Responsibilities: Perform a variety of administrative tasks including filing, data entry, and office organization Manage and maintain schedules, appointments, and calendars Prioritize and manage the email inbox, delegating responses as needed Address all client queries and internal communications promptly Assign tasks to appropriate personnel or teams and follow up to ensure completion Manage files and documentation related to ongoing projects Schedule services and appointments Attend weekly meetings and provide updates Collect, organize, and analyze data Ensure all technical documentation is clear, concise, and accurate Communicate effectively with clients to understand their needs and provide updates Assist clients with any technical issues they may encounter Use Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word to manage data and correspondence Handle inbound and outbound calls, providing excellent customer service Use QuickBooks for managing invoices and payments Utilize ShareFile for secure file sharing and document management. Requirements Minimum of 1 year experience in an administrative assistant role Proficiency in Microsoft Office Suite including Microsoft Word, Excel, Outlook, and PowerPoint Experience with answering inbound and making outbound calls Exceptional customer service skills Accurate and efficient data entry skills Experience with email correspondence and managing professional email accounts Ability to schedule and manage appointments effectively Strong interpersonal and communication skills Ability to multitask and prioritize effectively High attention to detail and accuracy in all tasks Must have a professional demeanor and positive attitude Excellent organizational skills and ability to manage multiple tasks efficiently Strong problem-solving abilities and initiative to improve processes and workflow Ability to work independently and as part of a team High level of discretion and confidentiality for dealing with sensitive information.
