We are seeking a motivated and detail-oriented professional to join our team in an on-site administrative role. This position offers a dynamic mix of financial, HR, operational, and customer service-oriented tasks.
Key Responsibilities:
Serve as the first point of contact for all incoming calls, providing professional and efficient call handling.
Answer calls promptly (within 3–4 rings) using a courteous and polished greeting
Route calls accurately to appropriate staff/departments using a multi-line phone system.
Take detailed messages (name, number, purpose) and deliver them via email/Teams.
Screen calls (e.g., identify spam, handle basic inquiries to reduce unnecessary transfers).
Manage voicemails by responding or forwarding urgent messages promptly.
Maintain phone etiquette (tone, pace, clarity) even during high-volume periods.
Financial & Clerical Tasks:
Retrieve and process daily mail (depositing checks, entering bills for payment).
Assist with payroll processing and financial reporting.
Handle scanning, faxing, and document management.
Human Resources Support:
Maintain up-to-date employee records and ensure compliance.
Schedule and coordinate employee reviews.
Manage full-cycle recruiting—posting ads, screening candidates, conducting interviews, and onboarding new hires.
Operations & Oversight:
Oversee marketing initiatives and assist with promotional efforts.
Manage and execute special projects as needed.
