Description We are in search of an Executive Assistant to lead the re-build efforts of a recent transplant to Coconut Grove, Florida. The role entails providing executive support in a well-structured and timely manner. You will be dealing with a diverse set of tasks that assist our growing portolio. Responsibilities: Manage professional and personal scheduling for CEO, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics. Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives. Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination. Perform administrative and office support, such as typing and prooing correspondence, making copies, and creating presentations. Use QuickBooks to manage company's financials and prepare reports for executives. Ensure efficient and effective communication between the CEO and other company departments. Implement and monitor programs as directed by management, and see the programs through to completion. Generate memos, emails, and reports when appropriate. Assume responsibility for maintenance of office equipment, including computers, copy machines and fax machines. Maintain office supplies by checking inventory and order items. Respond to questions and requests for information.Requirements Proven experience as an executive assistant or other relevant administrative support experience. Proficient in the use of QuickBooks. In-depth understanding of entire MS Office Suite. Ability to organize daily tasks efficiently. High level verbal and written communications skills. Discretion with personal and confidential information. Ability to multitask and prioritize tasks. Excellent time management skills. Knowledgeable in all office management procedures and systems. Ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Sensitivity to confidential matters. Strong problem solving skills. Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment. Ability to work independently and as part of a team.
