Job Summary: The Administrative Support Specialist will play a crucial role in ensuring the smooth operation for our customer by providing comprehensive administrative assistance. This position requires a proactive and multitasking individual with proficiency in T&A systems, Microsoft Office Suite, and strong organizational skills. Key Responsibilities:

Time and Attendance (T&A) Systems: Utilize T&A systems to track employee work hours, leave requests, and attendance records.

Mailing and Front Desk: Manage incoming and outgoing mail, greet visitors, and maintain a professional and organized front desk area.

Meeting Support: Attend meetings, record minutes, and assist with scheduling and logistics, ensuring that meetings run smoothly.

Computer Filing: Organize and maintain digital files and documents, ensuring easy access and retrieval.

Passport Requirements: Assist employees with passport requirements for international travel, including visa applications and renewals.

Daily Schedule: Manage and coordinate the daily schedule for leadership, including appointments, meetings, and travel arrangements.

Logistical Support: Provide logistical support for meetings, conferences, and events, including room reservations, catering, and audio-visual setup.

Microsoft Suite: Create, edit, and format documents, spreadsheets, and presentations using Microsoft Office Suite.

Prooing: Review and proo correspondence, reports, and documents for accuracy and clarity.

Document Security: Safeguard unclassified documents and maintain confidentiality in handling sensitive information.

Travel Arrangements: Make travel arrangements for executives, including flights, accommodations, and transportation.

Document Review: Read and summarize memos, documents, and reports, ensuring that relevant information is communicated to the appropriate parties.

Phone Calls: Answer and screen phone calls, take messages, and provide assistance as needed.

QualificationsQualifications:

Must be a U.S. Citizen

Active Secret clearance is required.

Must participate in a Federal background investigation.

High school diploma or equivalent.

1-to-3 years of records file management experience.

Strong attention to detail and organizational skills.

Proficiency in data entry and record-keeping systems.

Excellent communication and interpersonal skills.

Ability to handle sensitive and classified information with discretion.

Knowledge of records management best practices and compliance requirements.
