Growing network of high performing, non-profit charter schools seeks a Temp to Perm Executive Assistant/Office Manager for their New Haven, CT office. The candidate will spend the majority of their time supporting two C level executives in addition to managing the office; however, there will be several events per year that require planning and execution. The hours will start off part time and move into full time when permanent. The candidate will work on a hybrid schedule with 3 days/week onsite in the office.Responsibilities:Manage and maintain calendar and scheduling system for each executive, using flexibility, independent decision-making, and discretion to ensure time is optimized strategically. This includes scheduling meetings, reviewing, prioritizing, and responding to incoming requests, prioritizing appointments, protecting work blocks, coordinating travel and logistics, balancing against personal obligations, auditing for conflicts, and anticipating and resolving potential issuesExpense management and travel supportPrepare briefs, presentations, agendas, memos and other documents to ensure the executive(s) are informed and prepared for any meeting or engagement.Serve as primary liaison with each office's primary (external) office manager.Serve as point of contact for employees using the office space, allowing access to the office for individuals who are not regular users of the space.Receive and distribute mailManage (along with team of Office Managers) company email and main phone messagesAdditional Tasks:Support in execution of in-person onboarding tasks such as I-9 verification.Manage the successful execution of onsite and offsite meetings as needed in each region well as larger-scale network-wide events, including in-person and virtual board meetings and in-person NS staff meetings.
