Description of JobAbout the Work UnitThe Office of Domestic Violence and Sex Offender Management (ODVSOM) exists to perform all tasks related to the administration of the Sex Offender Management Board (SOMB) and the Domestic Violence Offender Management Board (DVOMB), including serving as the central repository for information concerning all aspects of program administration and compliance and ensuring compliance with the statutory mandates of these programs. Each of the Boards is charged with multiple duties related to setting state-wide standards for the comprehensive evaluation, treatment and continued monitoring of convicted domestic violence and sex offenders. Work is accomplished through the development of public policy in a collaborative environment that is inclusive of criminal justice agencies, mental health professionals, crime victim serving agencies, human services agencies and other professionals and stakeholder groups. The work is based upon research, policy and practice that are evolving in nature.Each of the Boards is charged with a wide range of duties related to the comprehensive evaluation, treatment and continued monitoring of convicted domestic violence and sex offenders. This body of work is based upon national and local research and promising practices that are evolving in nature. Tasks are accomplished by the development of public policy in a collaborative environment that includes criminal justice agencies, mental health treatment professionals, crime victim service agencies, human service agencies and other allied professionals. The ODVSOM collects, analyzes, produces and disseminates standards, policies and information concerning domestic violence and sex offense specific treatment and containment. These efforts assist the General Assembly, the Governor's office, and other state and local agencies, in order to enhance the quality of criminal justice efforts to ensure public safety statewide.About the JobThis position's main purpose is to support the DVOMB and SOMB ARC Coordinator within the Office of Domestic Violence and Sex Offender Management (ODVSOM). It is responsible for a variety of critical duties in a fast -paced environment. It acts as the document specialist by ensuring materials submitted to the DVOMB or SOMB ARC are complete and accurate as required by policy or the Standards and Guidelines. This position serves as a first line of contact for inquiries about applications and must possess excellent customer service skills. This position prepares, verifies, and ensures timely processing of documentation related to the DVOMB and SOMB ARC. This position updates information and supports the maintenance of the Provide Data Management Systems. This position assists with the creation of new electronic forms and means for digitizing and retaining data for purposes of processing applications and other functions in the ODVSOM.KEY RESPONSIBILITIESGENERAL ADMINISTRATIVE AND PROGRAM SUPPORTProvides program assistance by processing, verifying and ensuring timely preparation and accuracy of applications, complaints, Standards Compliance Reviews, and other materials prepared for the Application Review Committee Coordinator. This position will help organize, coordinate and process applications for review by the DVOMB and SOMB ARC Coordinator. This position also provides meeting support by managing meeting recordings and making arrangements for meetings including making travel arrangements for Board members. This position will assist with preparation and notification to service providers regarding renewal processes. This position must maintain confidentiality of this information and all other sensitive matters that arise as a part of this position's duties. This position will create, edit, and publish forms for use by other staff using PDFs, Jotforms, or other methods. This position gathers and coordinates information for reports, presentations, materials, and other documents. It will be expected that this position works independently to resolve conflicts, anticipate changes, adjust for and advise all affected by changes in schedules, rules, and procedures. This position will coordinate with the ODVSOM Program Manager and staff to ensure accuracy and timeliness of all information provided through the website and other communications to the public. This position will maintain the ODVSOM websites including the DVOMB and SOMB web pages as needed. This includes uploading and maintaining the repository of documents posted to AODocs and regularly transferring meeting recordings to the appropriate location on internal and external servers. This position will regularly inspect the website for errors or problems and flag issues or concerns.
