Office Manager Job Description
Position Overview
The Office Manager ensures smooth administrative operations, client interactions, scheduling/dispatching, invoicing, and sales support. This role requires strong communication, organization, and customer service skills.
Key Responsibilities
- Client Interaction & Scheduling: Use scripts for scheduling calls, track lead sources, follow up on quotes, and manage appointments via Jobber. Schedule estimates efficiently.
- Service Offerings: Manage inquiries about pruning, tree removal, stump grinding, fertilization, cabling, and tree planting.
- Scheduling & Efficiency: Ensure effective scheduling of jobs while considering travel time and optimizing daily productivity.
- Team Coordination: Conduct mid-day and end-of-day check-ins, ensure crew is assigned jobs effectively.
- Invoicing: Record lead sources, follow up on quotes, collect payments on service day, and apply available discounts.
Qualifications & Skills
- Experience in office management, scheduling, or customer service.
- Strong organizational and multitasking abilities.
- Experience in using Jobber and other CRM software.
- Excellent communication and sales skills.
Work Schedule & Compensation
- Full-time position at 40 hours per week.
- Pay range: $22 - $28 per hour.
- Initial 1099 contractor position with possibility for W-2.
- Possible performance-based incentives.
