Position Summary
The Catering Sales Coordinator is responsible for supporting the catering sales team in securing, coordinating, and executing catering events. This role involves direct client communication, proposal preparation, event logistics coordination, and administrative support to ensure seamless service from inquiry to event completion. The ideal candidate is detail-oriented, highly organized, and customer-focused, with excellent communication skills and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Sales & Client Relations
Respond promptly to catering inquiries via phone, email, and in-person meetings.
Assist with preparing customized proposals, contracts, and event orders.
Schedule and confirm site visits, tastings, and client meetings.
Maintain strong relationships with clients by providing timely follow-ups and personalized service.
Support sales team in achieving monthly and annual sales goals.
Event Coordination
Work closely with operations and culinary teams to ensure event details are communicated accurately.
Assist in creating detailed Banquet Event Orders (BEOs) and timelines.
Coordinate rental orders, décor, and special requests with vendors.
Maintain updated knowledge of menu offerings, seasonal specials, and pricing.
Monitor event changes and communicate updates to all relevant departments.
Administrative & Reporting
Maintain and update client database and sales tracking systems.
Prepare weekly sales and event activity reports.
Track deposits, payments, and contract compliance.
Assist with marketing initiatives, including social media posts, event photos, and promotional materials.
Organize and maintain sales files, contracts, and reference materials.
Qualifications
Education & Experience
High school diploma or equivalent required; college degree preferred.
1–2 years of experience in catering, hospitality, or event coordination.
Experience in a customer service or sales support role preferred.
Skills & Competencies
Excellent written and verbal communication skills.
Strong organizational and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and event management software.
Ability to work independently and collaboratively in a team environment.

Physical Requirements
Ability to sit, stand, and walk for extended periods.
Occasionally lift up to 25 lbs. when assisting with event setups or materials.
Work Environment
This role operates in both an office and event setting. The Catering Sales Coordinator may be required to attend on-site events to ensure client satisfaction and smooth operations.
