Established business law firm in Thousand Oaks seeks an experienced legal secretary for immediate hiring. We are somewhat flexible on total hours, provided you work no less than 20 hours per week and provide us with an established schedule.
This is an in-person administrative position that requires a wide variety of administrative skills. A paralegal certificate is not required (if you have one that’s OK) but your duties will rarely involve paralegal work.
RESPONSIBILITIES:
Answering phones
Add client and case information to CRM system
Proofread legal documents
Court filings with both Federal and State Courts
Arrange Service of Process of legal documents
Calendaring litigation dates
Provide administrative and trial preparation support to attorneys
Prepare and send documents for recording with County Recorders (and monitor processing)
File, organize, scan, copy and mail or fax legal documents and correspondence
Perform other administrative duties as assigned
QUALIFICATIONS:
At least 3 years’ experience in a professional office environment
Excellent verbal and written communication skills
Excellent customer service skills
Computer skills: highly proficient in Microsoft Word and Acrobat. Knowledge of QuickBooks, Outlook, and Excel is preferred but not required.
Ability to follow oral and written instructions in a changing environment.
Detail-oriented, able to multi-task and flexible to accommodate last minute changes.
Highly organized, good proofreading skills
Reliable transportation while at work to run local errands.
Live within 20-mile radius from Thousand Oaks
WORKING HOURS:
Our office is open from 8:00 a.m. to 5:00 p.m. Monday through Friday and all time worked must be within those hours.
