Job Overview

We are seeking a proactive and detail-oriented Accounting Specialist to join our team and be a vital member of the financial and administrative heartbeat of our operations. We are a multi-company organization. This versatile role covers AR processing, wholesale invoicing, inventory management, and ensuring the office runs seamlessly—from managing communications to coordinating daily tasks. The ideal candidate is organized, resourceful, and team-focused, with the flexibility to step in for events or special projects as needed. Key Responsibilities:

Accounts Receivable: Record payments from wholesalers and other customers, create invoices for various customers in multiple companies.

Wholesale Invoicing & Orders: Create and send wholesale invoices, place orders through fulfillment system, track order status, and manage wholesale order placement in coordination with management, distributors, and other customers.

Inventory Management: Manage inventory counts between locations and maintain accurate records for tracking product levels and movement.

Cash & Expense Management: Prepare and process check and cash deposits from Tasting Room. Enter and code expenses from credit card statements.

Administrative Support: Assist with filing, document organization, and maintaining accurate records for accounting and business operations.

Compliance: Sales tax reporting, excise tax reports and other compliance related reporting

Qualifications:

Proven experience as a Bookkeeper, Accounting Clerk, or similar administrative/financial role.

Strong knowledge of accounts receivable processes, invoicing, and basic accounting principles.

Proficiency with accounting software (QuickBooks) and Microsoft Office Suite (Excel, Word, Outlook).

Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines.

Must demonstrate a positive, team-oriented attitude and contribute to a collaborative, supportive workplace culture.

Excellent written and verbal communication skills for professional email and phone correspondence.

High level of attention to detail and accuracy in data entry and record-keeping.

High school diploma or equivalent; Associate degree in accounting, finance, or business administration preferred.
