ESSENTIAL FUNCTIONS AND BASIC DUTIES:
Strategically promote and sell event space, meticulously overseeing all operational aspects of booked events.
Maximize event revenue through innovative menu development and the proactive offering of premium upgrades.
Provide exceptional support to the events department, efficiently managing all incoming event inquiries.
Proactively correspond with and nurture leads/inquiries from Toast Events & Catering and all other platforms, ensuring timely follow-up on the same business day to capture every opportunity.
Develop, communicate, and post weekly Banquet Event Orders (BEOs) with precision, ensuring seamless and efficient event execution.
Serve as the primary point of contact for all administrative event details, skillfully engaging with clients from inquiry to close, including but not limited to expert negotiation, contract execution, diligent client payment follow-up, comprehensive floor plan development, rental order management, and thorough post-event follow-up.
Mastermind all logistical event details from meticulous planning to flawless execution, including site inspections, tastings, vendor meetings, and on-site client contact on the day of the event.
Take full ownership of BEOs, Menu Cards, Event Details, Itemized Bills, Opentable & Toast Events Calendar syncing, meticulous tracking & logging of deposits and final payments, precise management of client-specific event needs, comprehensive event administrative paperwork, accurate notation in our reservation system, and diligent maintenance of all departmental information.
Conduct impactful on-site visits with prospective and existing clients.
Provide a warm and professional welcome to all guests/clients on site at the beginning of an event, ensuring total client satisfaction and expertly addressing any last-minute requests.
Prepare all necessary documents for staff review during the event pre-shift meeting to ensure cohesive team execution.
Develop engaging social media content and manage posting schedules to promote events and showcase our offerings.
Self-motivated to make cold calls & onsite visits to hotels, large business, & all potential cliental.
SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES:
Excellent communication skills, both verbal and written
Able to learn and perform all essential job functions accurately and safely
Ability to meet and greet and coordinate with prospective and current clients
Strong telephone etiquette, listening and understanding clients’ needs, communicating your thoughts clearly, and recording all pertinent data collected from all forms of correspondence/conversation
Provide friendly, courteous and efficient service to all guests
A thorough understanding of all booking policies and procedures
Ability to work with multiple computer applications including but not limited to the Microsoft office suite, Opentable & Toast Events & Catering or similar software
Knowledge of the following: kitchen functions, general culinary practices, restaurant operations and banquet operations
EXPERIENCE
Minimum 3 year experience in Events or Catering Sales Position.
Experience coordinating events on a team that generates minimum of $3million+ in event revenue
Ability to work nights, weekends and holidays, and variable schedule, per the needs of the business
Appreciation, Passion and knowledge of food, wine and hospitality.
Experienced and fast paced with Microsoft Outlook, Office Suite, Opentable & Toast Events & catering required.
