OPERATIONS PROCESSING SPECIALIST

We are seeking motivated and self-driven candidates who are experienced in operational and processing support to apply for the Operations Processing Specialist position at Corporate Identity Systems, our Bay Area/South San Francisco location. This is an ideal opportunity for professionals with experience in data/order entry, accounting functions, and/or detailed record-keeping work, preferably of a financial nature. This is a part-time (approximately 25 hrs/week for 30-60 days), converting to full-time, 100% on-site position with a temp-to-permanent hire opportunity.

Corporate Identity Systems is the San Francisco Bay Area’s full-service custom graphics provider specializing in brand identity and corporate visual communication solutions for the retail, transportation, and technology industries. We are currently looking to grow our team and the Operations Processing Specialist is a vital position that supports on-site production and business operations.
Key Responsibilities
As an essential member of the Operations Team that reports to the Director of Operations, this position requires the ability to be accurate, consistent, and highly attentive to detail, as well as flexible with a “can-do” attitude when unanticipated needs arise. There are four broad areas of work for this role:
Data/Order Entry and Customer Service support to some of our largest customers
Invoicing responsibilities on a daily, weekly, and month-end basis
A/P functions, including processing of vendor billing
Contributing to other Operations Team projects and tasks as assigned
Examples of duties you will typically be responsible for:
Accurately process a high volume of orders and maintain system data, including updating job changes and revisions in a timely manner
Efficiently organize handling of purchase orders and communicate with customers as needed to ensure the maintenance of PO integrity
Regularly communicate with the Operations and Production Teams regarding order details, timelines, and other critical information
Utilizing the ERP system, accurately complete/process a variety of invoicing functions on a regular basis, occasionally under time constraints
Using your eye for detail, consistently process installation invoicing and maintain a high level of organization of this important workflow
Take ownership of vendor payables, ensuring timely and accurate processing and submission to A/P
Effectively communicate and collaborate with the Corporate Accounting Team, and other company locations, via both email and MS Teams
Assist with a variety of other administrative functions as needed, such as file management and general office support
Talents, Skills, and Experience
Core competencies and work experience that would be required for this position include:
Demonstrated experience performing detail-oriented tasks such as data entry
Proven comfort level with high volume work of a financial nature such as accounting tasks or record keeping (basically, you are skilled at working with data and numbers!)
Strong desire and ability to properly follow instructions, at times of a very specific nature
Capable of performing under deadlines and with multiple requests of your time
A keen eye for detail and a knack for organization and time management
Strong verbal and written communication skills, with high professionalism, good judgment, and excellent interpersonal abilities when interacting with customers, colleagues, and all levels of employees within CIS/Vomela
A true team player who has a high desire to contribute to the goals of the group and organization
Able to multi-task and independently prioritize, while maintaining quality of work
Proactive in seeking answers and solutions to complete the task at hand
High level of computing skills, particularly with MS Outlook, Excel, Word, and Teams
Ability to perform work duties at a computer for extended periods of time
Qualities that are preferred, but not required:
A Bachelor’s degree or relevant coursework
Experience in an accounting role working with invoicing and/or payables
Familiarity with ERP systems
Previous employment in manufacturing or the graphics industry would be a plus
