Operations & Accounting Specialist

As a member of our team, you will be responsible for general office, procurement, inventory management, accounting functions, and reporting. The ideal candidate will be a reliable, committed, and hard-working professional able to undertake a variety of tasks and work diligently under pressure with a high degree of attention to detail and discretion.

This candidate will also possess a high service-driven mentality as it interacts with members of our organization, suppliers, and transportation companies. Prior distribution and or import industry experience along with compliance knowledge will be essential in making this candidate successful.

Accounts Payable/Receivable

Invoicing and Collections

Item set-up and management in QuickBooks Enterprise Desktop

Purchasing/Placing orders with International and Domestic suppliers.

Arranging both over the road domestic and international transportation.

Entering bills and payments in QuickBooks Enterprise Desktop.

Managing and tracking product allocations.

Creating and maintaining monthly depletion reporting for Suppliers using Excel.

Performing and reconciling physical inventory on a monthly basis.

Managing inventory par quantities and transfers.

Reporting

Collaborating with LA office.

Communicating with Management and Sales teams.

General Office Duties such as filing, copying, scanning, emailing, etc.

Other duties as necessary

SKILLS & EXPERIENCE

Ability to perform advanced office and accounting related tasks accurately and efficiently.

Ability to understand and interpret rules and follow oral and written directions, then apply them to specific situations.

Ability to compose business correspondence and communicate effectively in-person, over the phone, and in writing.

Ability to establish and maintain effective working relationships with others and at all levels of the organization.

Ability to plan and organize work, meet schedules and deadlines, and perform duties effectively with many demands on time and constant interruptions.

Ability to maintain records and prepare reports.

Ability to work confidentially, with discretion, and independently with little direction.

Ability to use Microsoft Office applications with an intermediate level of understanding.

Ability to use QuickBooks Enterprise Desktop with an intermediate to advanced level of understanding.

Ability to adapt easily to new forms of technology, and a willingness to learn.

PHYSICAL DEMANDS & WORKING CONDITIONS

Physical ability to regularly lift and carry up to 30 lbs. and occasionally lift and carry 50 lbs or more.

Physical ability to regularly sit for extended periods of time, stand, and walk frequently.

Physical ability to occasionally bend, kneel, crouch, climb, reach, or crawl.

Exposure to a variety of environmental conditions: weather, temperature, lighting, and noise as determined by circumstances within the office and warehouse environments.

POSITION TYPE AND EXPECTED HOURS OF WORK

This is a full-time, hourly position and normal work hours are Monday-Friday from 9am-6pm. Flexibility is required as some adjustments to schedule must be made to accommodate the demands of the business.

REQUIRED EDUCATION AND EXPERIENCE

Bachelor's Degree and/or 3 to 5 years of related experience in the distribution industry.

Minimum of five (5) years of previous Operations/Accounting experience.

Previous adult beverage (alcohol) industry experience preferred.

Previous Sales experience a plus.

WORK AUTHORIZATION

Must complete US Federal I9 form with appropriate identification
