Administrative Assistant position available for an established Commercial HVAC company in Brentwood.
Software experience with Excel (Must be able to create spreadsheets in excel not just input information), Word and QuickBooks Online.
Part-time position of 15-20 hours per week to start. IN OFFICE POSITION
Flexible schedule/hours but must be available during the morning at least 3 days per week Monday-Thursday.
Must be organized, flexible, comfortable working alone, self-starter, resourceful and motivated. Must have good communication skills, efficient with time management, attention to detail and follow directions.
Summary/Objective:
The Administrative Assistant's job duties include, but are not limited to, incoming/outgoing phone calls, help manage accounts payable/receivable, collect timesheets and be responsible for their accuracy. Help with payroll, office errands, maintain office supplies, coordinating job details with the employees out in the field, create and update excel reports on a weekly basis and handle other day-to-day office activities as assigned by the supervisor.
Responsibilities:

Thorough and accurate filing and recordkeeping
Assist with special projects, research and compile information as needed
Provide comprehensive and confidential administrative and personal support
Organize office by lightly cleaning and tidying spaces
Various tasks as assigned
Required skills/abilities:
Excellent written, verbal, and interpersonal skills both in person and over email
Basic understanding of administrative and clerical procedures and systems
Proficient with Microsoft Office and/or related software (including Google Docs,
Google Drive, Dropbox, Gmail, and Google Calendar). QuickBooks Online knowledge.
Problem solver, ability to integrate organizational systems and optimize workflow
Work independently with strong and proactive follow-through
Proven ability to handle confidential information, trustworthiness and have discretion
Ability to multi-task and prioritize daily workload, meet deadlines, and manage
multiple tasks at once
Office is on 2nd floor with NO elevator
Education and experience:
High school diploma, GED, or equivalent required
