Growing tax firm seeks motivated candidates with administrative experience. Tax office and bookkeeping experience is a big plus! This job is for a part-time, seasonal employee with possible year-round role for the right person. Extended hours during tax seasons. Start date goal is January 7th.
Administrative assistant performs tasks as assigned by owner to assist in a smooth office workflow. See Scope and Responsibilities outlined below.
MAIN DUTIES AND RESPONSIBILITIES
Duties and responsibilities may include but are not limited to supporting these and other tasks:
Greet clients who come to the office
Answer phones and direct calls to appropriate party. Handle sensitive and urgent information from clients, personnel, and other contacts while exercising appropriate judgment when responding.
Schedule client appointments (Calendly/Outlook)
Maintain Client Database (TaxDome & Lacerte)
Set up new client files (TaxDome & Lacerte)
Enter projects into TaxDome and assign to preparer
Prepare client tax files, scan source documents, assign to preparer and track completion of returns. Be aware of Tax filing deadlines.
Disseminating information that clients submit through online portal and email
Delivery of Tax Returns electronically and follow up of E-File authorizations
E-file returns upon receipt of E-File authorizations
Close out files and projects when completed
QUALIFICATIONS
2+ years of admin experience
Excellent written and verbal communication skills so that you are articulate in both your writing and your conversation
Proficiency required in Microsoft software and internet searches, emails and using online services
Ability to think outside the box with good analytical and problem-solving skills
Experience in preparing administrative documents for a tax office
Experience with MS software such as Excel, Word, Outlook
Knowledge of Lacerte and TaxDome software a plus
2+ years bookkeeping experience with use of QBO a plus
