Legal Secretary (Temp) NEW OPPORTUNITY

Oakland, CA

Our client, A well-established labor and employment firm located in downtown Oakland, CA (located within two blocks of 12th St. Oakland BART). Is looking to fulfill a need for a temporary Legal Secretary. This assignment is expected to last about three months, with the possibility of extension.

Employment Type: Full Time Temporary | M - F | 8:30am – 5pm

Onsite five days per week

Pay Rate: $35.00 / Hour

Responsibilities:

Administrative support:

Attorney and practice group calendar management (via Outlook) with coordination of travel arrangements and any client services as needed

Oversee inbox and incoming client correspondence via email, phone, and certified mail

Expense tracking and submissions on behalf of attorney. Including processing check or payment requests for vendor services as needed

Initiate conflict checks, and new client/matter steps with client profile buildout in practice management software

Attorney billable hour tracking and entry for client billing

Support to special projects, legal research or ad-hoc clerical tasks as arise

Document Management & Preparation:

Prepare, draft, and finalize various documents including internal, external and client correspondence. Drafting memos and legal documents such as TOA/TOCs as needed

E-filing within State and Federal Courts. Utilizing legal database for docketing procedures

Responsible for proofreading and correctly formatting all materials consistent with firm policy and attorney standard

Maintain document management system with upkeep and tracking of case/matter related documents

Qualifications:

Qualified candidates should have at least two years’ legal secretary experience. A minimum of one year of practice background in Employment & Labor Law, Litigation or PI/Workers’ Comp is required. A 4-years bachelor’s degree is highly desired, and a high school diploma is required. Proficiency in MS Office Suite with experience in document/practice management systems, Adobe Acrobat, and legal billing software. Strong word processing skills with sharp attention to detail. Must possess adept time management skills, professionalism, and ability to support a fast-paced environment while prioritizing scope of work. A collaborative and team-oriented working style is highly desired in the ideal candidates.
