We are a luxury wedding planning and design team in search of a full-time assistant to join us in creating thoughtful, unforgettable events. This position offers the opportunity to work closely alongside our lead planner and creative director, supporting both the logistical planning process and the visual design experience. DESCRIPTION

An event planner with 2+ years of experience preferred with the ability to manage events seamlessly and support the owner, while also maintaining relationships and face time with vendors and clients. Follow through event coordination from inception to completion.

RESPONSIBILITIES

Work in synchronicity with the owner on managing all events.

Provide seamless communication from admin to clients on facilitating events.

Create proposals, maintain emails, write up contracts and terms and conditions for each new event.

Set-up and maintain Aisle Planner, checklists, notes, budget spreadsheets, keeping track of guest RSVP’s, creation of diagrams and timelines. This is a very detail-oriented job.

Check and sign off on invoices with vendors and clients.

Anticipate the needs of various teams and the business as a whole while providing a high level of support. This can materialize in various ways including event management, errands and leader of events, etc.

Organize & schedule client meetings, site visits and logistics.

Be present to lead onsite meetings with clients and vendor team as necessary by reviewing event needs - schedule and recording notable updates during meetings.

Manage tasks on multiple projects at once.

Ability to handle administrative details independently, while keeping the owner adequately informed.

Create and implement systems and task lists for each event projects.

Lead wedding-weekend activities to ensure the event runs smoothly.

QUALIFICATIONS

2+ years of event experience from wedding-specific events preferred.

Knowledge of Aisle Planner is a plus.

Sound knowledge of different religions and religious practices.

Highly motivated, organized and able to work effectively with minimal supervision.

Fine-tuned communication skills, including being able to lead in-person and/or conference call or Zoom meetings and write thorough and organized emails for vendors, clients and teams.

Extremely organized and detail-oriented with schedules, emails, communication and presentations.

Confident in planning decisions and project management skills; ability to anticipate team and project needs and to remain a few steps ahead.

Strong networking and negotiating skills.

Reliable car and willing to travel.

Familiar with wedding vendors, including venues, catering, photography, entertainment, transportation, rentals, florists, stationers, etc.

Weekends on events only
