Keystone Pacific Property Management, a well-respected, growth oriented and forward thinking HOA firm, is seeking to fill an Administrative Assistant position at our beautiful property in Oceanside. This position will offer the right candidate a wide variety of duties, while gaining experience in the HOA industry.

Summary: The responsibilities of the Administrative Assistant is to act as support staff to the administration department and directly report to the Office Manager in the HOA office. This individual will provide contact with residents, internal staff, and the public in addition to handling administrative tasks at hand.

Paid Holidays: President’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving and the day after, Christmas Eve, Christmas Day, New Year’s Eve, and New Year’s Day.

Essential Job Duties and Responsibilities:

o New Resident Registrations:

o Prepare New Resident Registration Packets

o Schedule appointments and meet with new residents in order to educate them on the community

o Enter and Maintain information in multiple databases

o Committees:

o Prepare Committee notices, agendas and informational packets for meetings:

o Citation Review, and Audio Visual:

o Take and transcribe minutes for Committee meetings, mentioned above, in draft and distribute for Committee members for review; Prepare final minutes with side summaries

o Maintain and Track

o Provide detailed responses to information requests about various committee activities

o Draft correspondence- violation notices, homeowner responses

o Organizational Support

o Obtain signatures (minutes, contracts, etc.)

o Provide administrative support to the Maintenance Director:

o Obtain signatures (minutes, contracts, etc.)

o Act as recorder for subcommittee meetings

o Maintain Board folders with agenda items

o Draft correspondence

o Organizational support

o Maintain Office calendar and assist with meeting coordination

o Process payables for approval

o Assist with other jobs and other duties as necessary.

o Practice and adhere to Keystone’s Core Values, Mission and Vision.

o Any additional job duties as required by supervisor.

Qualification Requirements:

o Knowledge of proper operation of modern office equipment, MS Office, and digital storage.

o Ability to research problems, prepare written recommendations and compose correspondence

o Proficient in the Microsoft Suite Programs

o Strong written and verbal communication skills

o Ability to establish and maintain effective working relationships with fellow employees, clients, residents and volunteers

o Ability to work with and maintain confidentiality of materials

o Must be at least 18 years of age

o Excellent interpersonal skills.

Education and/or Experience:

o At least 2 years of experience working in an Administrative related role.

o Bachelor’s Degree preferred.

o High School Diploma required.
