Whitemore James Black, Inc. is a legal search and staffing firm. Our client, aleading national law firm, is seeking an experienced Litigation Secretary to join their dynamic team in Sacramento, CA. This position is hybrid remote, and is seeking someone who can work 3 days per week in the office and 2 remotely. The salary is up to $95K DOE. The Litigation Litigation Secretary will provide comprehensive administrative and clerical support to attorneys in their litigation practice, ensuring efficient case management and exceptional client service in a fast-paced legal environment.
Key Responsibilities:
- Prepare, edit, and format legal documents, including pleadings, motions, discovery requests, and correspondence, ensuring accuracy and compliance with court rules.
- Manage attorney calendars, scheduling court appearances, depositions, mediations, and client meetings.
- File documents with state and federal courts, including e-filing through CM/ECF and California court systems.
- Organize and maintain case files, both physical and electronic, ensuring confidentiality and accessibility.
- Coordinate with clients, opposing counsel, and court personnel to facilitate case progression and communication.
- Prepare and process billing, expense reports, and time entries for attorneys.
- Conduct basic legal research and compile case materials as directed by attorneys.
- Assist with trial preparation, including organizing exhibits, preparing trial binders, and coordinating logistics.
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail distribution.
- Perform general administrative tasks, such as copying, scanning, and data entry, to support the litigation team.
Qualifications:
- High school diploma or equivalent; associate’s degree or paralegal certificate preferred.
- Minimum of 3-5 years of experience as a litigation secretary, preferably in a law firm environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal software (e.g., iManage, CompuLaw, or similar).
- Strong knowledge of California state and federal court rules, procedures, and e-filing systems.
- Exceptional organizational skills with the ability to prioritize tasks and meet deadlines in a high-pressure environment.
- Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Team-oriented mindset with a professional demeanor and strong interpersonal skills.
- Familiarity with litigation-specific tasks, such as discovery processes and trial preparation, is highly desirable.
