We are a civil litigation law firm located in Fair Oaks and have an immediate opening for a Receptionist/Office Administration position. This is an entry level position. The Reception/Office Administration position entails all reception duties for the office, including greeting visitors and answering phones. The position requires assistance with office administration and back-up support as needed.
Essential Duties:
- Answer main phone as necessary
- Greet visitors in front reception area
- Track incoming calls for electronic dispatch to appropriate staff
- Receive, date stamp, and distribute mail
- Drop off mail at the collection box (USPS or FedEx) some travel to post office required
- Maintain a clean and organized reception area
- Provide back-up support for various tasks as needed
- Pay bills weekly
Essential Education / Experience:
- High School Graduate or equivalent
- 1+ years in a corporate office - legal industry preferred
- Bilingual (Spanish) - preferred but not required
Essential Skills and Competencies:
- Possess the ability to interface with many different personalities and individuals to assist with their inquiries
- Adept at handling interruptions and multi-tasking during high-volume periods
- Excellent computer skills, including MS Outlook & Excel
- Must have excellent written and verbal communication skills as you will be interacting with high-level legal associates and clients
- Outgoing personality with top-notch organizational and time-management skills
- Must be dependable and able to work with minimal supervision
- Must be comfortable performing required tasks assigned
- Must have a valid drivers licence and vehicle
- Spanish/English Bilingual is a plus
