Description Position Overview:We are seeking a meticulous and highly organized Union Payroll Clerk to join our team. In this role, you will be responsible for processing payroll for union employees, ensuring compliance with union contracts, federal and state regulations, and company policies. The ideal candidate will have strong attention to detail, excellent organizational skills, and a deep understanding of payroll processes, union requirements, and related reporting. This position is essential in ensuring employees are paid accurately and on time while maintaining the highest level of confidentiality and compliance.Key Responsibilities:
Union Payroll Processing: Prepare and process weekly, bi-weekly, or monthly payroll for union employees in accordance with collective bargaining agreements (CBAs) and company standards.
Deductions & Benefits Administration: Calculate union-specific deductions such as dues, fringe benefits, and pensions, ensuring accurate remittance to the appropriate entities.
Compliance Monitoring: Maintain compliance with state, federal, and local payroll regulations, including wage and hour laws. Ensure payroll practices adhere to union agreements.
Data Entry & Records Maintenance: Accurately input employee hours, wages, tax withholdings, and other earnings/deductions into the payroll system. Maintain records for audits and historical reference.
Timekeeping: Review and verify timesheets, electronic timekeeping systems, and related records to ensure proper time capture and allocation. Address discrepancies promptly.
Union Reporting: Prepare and provide required reports to union entities and internal stakeholders, such as benefits contributions and dues remittances. Ensure timely filing of required payroll documentation.
Employee Support: Address and resolve payroll-related inquiries from union employees, managers, and union representatives. Provide clear explanations while maintaining confidentiality.
Problem Resolution: Investigate and resolve payroll discrepancies or errors by collaborating with HR, union representatives, and employees as needed.
Audits: Support internal and external payroll audits by providing necessary documentation and reports.
Continuous Improvement: Identify opportunities to improve payroll processes and suggest changes to enhance efficiency, compliance, and accuracy.
Requirements
Qualifications:
Education: High school diploma or equivalent required; associate’s or bachelor’s degree in Accounting, Finance, or related field preferred.
Experience:
2+ years of experience in payroll processing, preferably in a unionized workforce.
Proficiency with payroll systems (e.g., ADP, Paychex, Workday, or similar software) is required.
Knowledge:
Strong understanding of payroll practices, tax laws, and collective bargaining agreements.
Experience with union-specific payroll processes, including fringe benefit reporting and compliance.
Skills:
Exceptional attention to detail and accuracy.
Proficient in Microsoft Excel and other relevant software tools.
Strong problem-solving and organizational skills.
Effective communication skills, with the ability to work collaboratively across teams.
Preferred Qualifications and Attributes:
Experience working with multi-union environments and multiple CBAs.
Familiarity with payroll reporting across multiple states or jurisdictions.
Certification in payroll processing (e.g., Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP)) is a plus.
