Job Description:
We are seeking a detail-oriented and organized Administrative Assistant to join our team at CODG Inc. The ideal candidate will assist in various administrative tasks related to accounting, administration, and design processes. Responsibilities:
Accounting:
- Perform data entry for invoices, receipts, and other financial documents.
- Scan and organize documents into Dropbox.
- Handle mail distribution and check deposits.
Administration:
- Organize and maintain digital and physical filing systems.
- Set up new lead files and client folders.
- Keep office space clean and organized, including inventory management of office supplies.
- Update systems and ensure work insurances are current.
Design:
- Assist in setting up lead sheets and client folders.
- Collect proposals and payment from clients.
- Research and organize specifications for planning and building submittals.
- Communicate with municipalities and consultants regarding project updates.
Skills Required:
- Excellent verbal and written communication skills.
- Proficiency in MS Office (Word & Excel), QuickBooks, and Dropbox.
- Resourcefulness and ability to follow established schedules and priorities.
- Strong team player capable of managing individual workload effectively.
- Background in design and construction are not required.
Working Hours:
Monday through Friday, 8:00 am to 5:00 pm (option for Flexible hours)
Location: Carmel, CA 93923
Position available for both part-time and full-time candidates.
