As an Administration Coordinator you will provide general administrative and support services to a business unit, department or functional area and responds to requests by following standard policies and procedures. You will be responsible for preparing routine reports, making travel arrangements, greeting visitors and providing calendaring support. Serves as an administrative liaison with other areas within and outside the company.What You Will Do:

Produces routine reports and completes basic administrative tasks and projects.

Manages department or leader’s calendars, coordinates travel and meeting logistics to include sending invites, ordering catering, and securing room and technology arrangements.

Attends department and/or various meetings, records minutes, summarizes action items when needed.

Assists in the logistical coordination and execution of events and town halls (both on-site and off-site venues).

Regularly cleans and maintains meeting rooms to sanitation standards. Stocks and ensures Personal Protective Equipment (PPE) supplies are readily available.

Coordinates routine maintenance of facilities and office equipment.

Supports onboarding of new hires in the department as needed.

Prepares correspondence, memoranda, reports and agendas.

Organizes and confirms data from internal and external data sources for standard reporting and distribution.

Manages and submits expense reports and approves or routes purchase orders and invoices via appropriate systems.

Greets and directs visitors; answers phone and responds to general inquiries.

Opens, sorts and distributes mail; prepares packages for shipping.

Performs basic data entry and copies, scans and files documents (to include electronic) as needed.

Orders and maintains office supplies.

Maintains satisfactory attendance, to include timeliness.

Responsible for understanding and complying with applicable quality, environmental and safety regulatory considerations. If accountable for the work of others, responsible for ensuring their understanding and compliance.

What You Will Need:

 High school diploma or State-issued equivalency certificate plus 3 years of administrative support experience reflecting increasing levels of responsibility; OR Associate’s degree plus 1 year of administrative support experience.

Experience operating standard office equipment to include personal computer.

Skilled in the use of MS Word and MS Excel at a basic level.

Skilled in reading, comprehending, interpreting and executing simple instructions, short correspondence and memos.

Skilled in writing simple correspondence.

Strong verbal, written, organizational and interpersonal skills.

Skilled in adding, subtracting, multiplying and dividing in all units of measure, using whole numbers, common fractions, and decimals

Required to travel to company offices, sites, and/or meeting locations for onboarding, training, meetings, and events for development, department needs, and business delivery up to 5% of the time, with or without reasonable accommodation. This may be in addition to travel requirements, if applicable, as listed in this job description.

Required to be 18 years or older. This may be in addition to other age requirements, if applicable, as listed in this job description.

What Will Set You Apart:

High School diploma or State-issued equivalency certificate plus 5 years of administrative support experience reflecting increasing levels of responsibility; OR Bachelor’s degree.

Experience organizing, prioritizing and meeting deadlines while working on numerous projects.

Experience effectively presenting information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Skilled at using common sense to carry out instructions furnished in written, oral, or diagram form. Skilled at dealing with problems involving several concrete variables in standardized situations.

Knowledge of standard office practices and procedures.

Experience working in a team-oriented atmosphere and with all levels of management.

Experience using discretion in dealing with confidential information.

Hiring Salary Range: $29.23 - $39.42/hour

Actual compensation amount paid may be lower or higher to be determined by factors other than race and gender such as the education, experience, knowledge, skills and abilities of the applicant, internal equity, and alignment with market data.
