Listing Manager/Operations Manager

Position Overview: The Schulman Team is seeking a highly organized and proactive Listing Manager/Operations Manager to support the Team Lead, Top Agent, and overall team operations. This role requires a skilled project manager who ensures deadlines are consistently met, inquiries are prioritized, and office operations run seamlessly. The ideal candidate will anticipate executive needs, manage communication, scheduling, and client relations, and oversee transaction coordination from listing to closing.

Key Responsibilities:

Executive & Office Management:

Serve as the primary point of contact, managing communication, emails, and client interactions.

Schedule and coordinate meetings, showings, and events.

Ensure seamless office operations by anticipating and addressing executive needs.

Transaction & Contract Management:

Prepare and manage real estate contracts, including RPAs, RLAS, BRBCs, Requests for Repairs, Contingency Removals, and Leases.

Oversee all tasks within ZipForms and DocuSign to ensure smooth processing.

Coordinate escrow openings and manage all related processes to meet deadlines.

Listing & Market Preparation:

Draft and prepare MLS listings, ensuring accurate details, compelling descriptions, and high-quality marketing materials.

Schedule property photography, inspections, and coordinate vendor repairs.

Conduct property research, including comparables, zoning inquiries, warranties, and city requirements.

Manage city market reports, weekly listing activity reports, and perform market research.

Lead & Client Management:

Handle MLS inquiries, respond to sign calls promptly, and distribute leads to the appropriate agents.

Reverse prospect listings monthly through MLS to identify potential buyer’s agents.

Generate leads through proactive outreach, using last communication filters, text follow-ups, and marketing off-market listings.

Track and manage lead follow-ups through Follow Up Boss (FUB) and provide last 30-60-day reporting.

Agent Support &Onboarding:

Assist in recruiting, interviewing, and onboarding new agents.

Provide ongoing training and support to ensure team members are well-prepared.

Reputation & Review Management:

Foster positive client experiences, encouraging and managing 5-star reviews across Zillow, Yelp, Google, and Realtor.com.

Qualifications:

CA Real Estate License required. HAVE 2+ YEARS OF LA REAL ESTATE EXPERIENCE

Proven experience in real estate administration, transaction coordination, or executive support.

Proficiency in MLS, Real Estate Contracts ZipForms, DocuSign, Follow Up Boss (FUB), and Google Suite.

Strong ability to manage multiple projects and deadlines in a fast-paced environment.

Excellent communication, organizational, and problem-solving skills.

Detail-oriented with a proactive approach to tasks and team support.

Ability to anticipate needs, maintain confidentiality, and ensure seamless operations.
