Job Overview:

We are seeking a dynamic and highly organized Office Manager / Chief Operating Officer (COO) to oversee daily operations, manage administrative staff, and implement efficient systems across all areas of our construction company. This hybrid role bridges strategic leadership with hands-on management of office operations to ensure the business runs smoothly, profitably, and in full compliance with industry standards.

Schedule: Monday-Friday: 9:00AM-6:00PM

Location: Los Angeles, CA

Key Responsibilities:

Operations & Administration:

-Manage day-to-day office functions, including scheduling, communications, supplies, and systems.

-Develop and maintain operational policies, procedures, and best practices.

-Oversee document control and contract management processes.

-Ensure all licenses, insurance, and compliance documentation are current and properly filed.

-Manage accounts payable/receivable, job costing, and coordination with accounting/bookkeeping.

-Lead implementation and optimization of project management and CRM software.

-Supervise and support administrative staff; assist in hiring and onboarding.

-Support project managers in tracking timelines, budgets, and material deliveries.

-Review and approve vendor and subcontractor invoices.

-Work closely with field supervisors and project leads.

-Identify opportunities for process improvements, cost savings, and business scalability.

-Support budgeting and forecasting in partnership with the CEO.

-Analyze business performance data and create reports for leadership decision-making.

Qualifications:

-7+ years of experience in operations management within construction.

-Strong understanding of construction processes, terminology, and documentation.

-Proven experience managing people, operations, P&L, and budgets.

-Proficient in Microsoft Office Suite and construction management software

-Excellent organizational, communication, and problem-solving skills.

-High attention to detail and ability to multitask in a fast-paced environment.

-Bachelor's degree in Business, Construction Management, Engineering or a related field.

Compensation: $120,000 per year.
