Service Manager / Dispatch
Coordinate and support 6-8 service techs and installers,
Support CEO
Create appointments for HVAC service calls, estimates, consultations, and install jobs.
Respond to phone and email inquiries up to around 5pm. We have slow periods where the phone will not ring much after 2pm.
NOTE: We have some periods of very busy activity in very hot weather. This is generally in July, August, September, but can happen at other times, where your attention can be required up to around 6-7pm. It can be counted on and predicted by very hot weather.
Coordinate PM (Planned Maintenance) agreements, schedule. Track billing, payments, current status of agreements
Train and become proficient with Calendaring and dispatch
WEEKLY Process payroll
MONTHLY: Report payroll to ICW
MONTHLY: Track and pay (EB and PB in QB) for gas, electric, water, Cintas, supply houses, other vendors
Maintain AP and AR file
Check for voicemail regularly
Mail processing
Parts and equipment ordering, receiving
Monitor progress and pull together all info for service calls and installation
Maintain and schedule PM (Planned Maintenance) calls and arrange for return calls as necessary
Maintain customer database
Google Docs, Sheets, Word, Excel
Payroll and Time entry
Maintain files
Maintain computer service with assistance from IT vendor
Independent projects
Maintain AR and AP
After hours phone and email monitoring. This is not busy unless there is last minute scheduling or weather is really hot or really cold.

Job Type: Full-time
Pay: $65,000.00 - $95,000.00 annually depending on level of experience in technical HVAC service including running service calls.
