Administrative Assistant

Description We are seeking an Administrative Assistant for our operations in Irvine, California. As an Administrative Assistant, you will play a key role in maintaining the smooth running of our office by managing facilities and equipment, coordinating internal meetings and events, and acting as a point of contact for facilities-related requests. This role offers a long term contract employment opportunity.Responsibilities: Manage the readiness of facilities, including room setups and breakdowns, and maintain office supply inventory levels. Act as the primary contact for facilities-related requests and provide front office coverage as required, including handling phone calls and routing them accordingly. Manage daily mail operations, including Fed Ex, UPS, and courier requests. Coordinate space reservations for workspaces and conference rooms using the hoteling software system. Support the team with client deliverables as needed, which may include scanning, printing, and mailing documents. Provide regular status updates to team members and stakeholders on all projects and related tasks. Assist with security access assignments and distribution of security badges, monitor employee status and make necessary updates to the security database. Coordinate internal meetings and events, including catering orders and setup. Perform basic maintenance and troubleshooting of standard office equipment, such as copiers, printers, A/V equipment, desktop devices, and kitchen appliances. Carry out other duties and special projects as assigned. Requirements Minimum of 3 years of experience in an administrative role Proficient in answering inbound calls and handling inbound/outbound calls Strong customer service skills with a focus on delivering high-quality service Proven experience with data entry tasks and maintaining accuracy Ability to manage email correspondence professionally and efficiently Proficiency in Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word Excellent organizational skills with the ability to schedule appointments effectively Strong written and verbal communication skills Attention to detail and problem-solving abilities Ability to multitask and prioritize workloads in a fast-paced environment Team player with a positive attitude and strong interpersonal skills TalentMatch® Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
