Two Feathers mission is to empower Native American youth and their families to achieve their full potential by offering culturally affirming mental health and wellness programs in Humboldt County. Two Feathers serves all self-identified Native American Youth and their families in Humboldt County.
JOB SUMMARY
Under the supervision of the Chief of Staff, the Data Compliance Coordinator provides support to the organization's programmatic data collection practices, Enhanced Care Management billing and compliance, and quality assurance in alignment with the organization’s strategic plan. The role requires supporting the organization’s youth program efforts, database/performance management system and plays a critical role in ensuring the data collected and reported on by the organization is able to effectively communicate the organization’s impact.
ESSENTIAL FUNCTIONS
- Oversight of Client Database and Org-Wide Data Collection
- Research and maintain proficiency in back-end database maintenance.-
-Provide insight around programmatic and organization-wide data collection and reporting decisions.
- Communicate with primary database vendor contact, as needed to ensure appropriate tracking fields and reporting needs are met.
- Remain up-to-date with latest database features that may support improved organizational evaluation practices.
- Lead consistent maintenance and ongoing buildout of client databases in alignment with organizational strategic plan and programmatic logic models.
- Support the Chief of Staff with development of onboarding training and ongoing data literacy efforts across all staff functions that may interact with data or the database.
- Support the Chief of Staff in serving as the “gatekeepers” and final decision maker around requests to develop additional tracking or reporting.
COORDINATE ENHANCED CARE MANAGEMENT BILLING AND COMPLIANCE
- In collaboration with the Chief of Staff, ensure assigned programs are in compliance with all agency policies and procedures, including adhering to all state and/or federal funding requirements and licensing/contractual requirements.
- Support ongoing communication and certification procedures with managed care providers and other contractual partners.
- Participate in regular meetings with managed care programs, other contract liaisons, and community partners.
- Seek opportunities to build strong relationships with health care providers, local and community organizations, and government agencies to support enrolled clients.
- Oversee reporting, billing, and quality assurance in partnership with other departments.
- Ensure that client insurance eligibility and accuracy of the Targeted Engagement List/client File, and timely tracking of outreach activities is confirmed monthly.
- Ensure timely, high-quality documentation of services in accordance with CII and contractual requirements including ensuring charts are audit ready at all times.
- Manage collection of process and outcome data and utilizes the data to improve program procedures, identify needs, and highlight program successes.
- Overseeing charting and documentation standards adhering to ECM contracts with Managed Care Plans (MCPs).
- Facilitate Data Compliance and Reporting
- Extract and compile data (including potentially identifying themes) and support with generating easily accessible reports and managerial performance monitoring tools.
- Provide ongoing and regular feedback to supervisors regarding staff meeting program expectations, appropriate record keeping and the overall quality and timeliness of their data entry.
- Support evaluators and program directors regarding data collection systems and data submission for grant reporting.
- Support program compliance including grant and financial systems that support the sustainability of Two Feathers.
- Support in administrative, grants and financial systems and implementation as needed.
OTHER DUTIES
- Participate in agency meetings, team building, administrative program meetings, and trainings as required.
- Support with onboarding of new staff to data collection and/or reporting practices, as needed for the hired role.
- Assist with or lead special program projects, as directed.
- Attend and participate in other Two Feathers programming as needed.
QUALIFICATIONS
- Education: Degree in Social Work, Evaluation, Business management or related field (or 2 years of relevant experience).
- Experience in database management preferred (Salesforce & Exym EHR).
- Experience working in tribal communities with Native American youth and their families, preferred.
- Current driver’s license, in good standing.
- Fingerprint clearance with the Department of Justice, FBI, and Child Abuse Index.
- Must comply with a drug-free workplace.
