Description Job Title: Bilingual Administrative Assistant (Japanese) / ReceptionistJob Description: We are currently seeking a highly motivated, bilingual administrative assistant (Japanese) who also has the capability to cover receptionist responsibilities as necessary. This individual will provide support to our office and be a key player in our customer service team.Responsibilities:
Provide general administrative and clerical support including mailing, scanning, faxing, and copying for management
Assist in maintaining our filing system: digital and hard copy
Aid in preparing reports, memos, letters, and other documents
Provide efficient customer service and handle complaints professionally
Coordinate and schedule meetings, appointments, and travel arrangements for managers and executives
Attend, record, and transcribe minutes of office meetings
Deal promptly and efficiently with correspondence and administrative tasks
Cover receptionist duties as needed, which includes: greeting and assisting guests, managing multi-line phone systems, and receiving/distributing deliveries
Provide written and oral translation services when required.
The successful candidate will have proven administrative experience, a knack for customer service, and the ability to prioritize and multitask in a fast-paced environment. We are looking for someone who is adaptable, personable, and eager to take on new tasks and learn. A high school diploma or equivalent required; an associate's or bachelor's degree in a relevant field is preferred.
Must be fluent in Japanese and English, both verbal and written
At least 2 years experience in an administrative support role or equivalent
Strong written and verbal communication skills
Proficient in MS Office Suite (Outlook, Word, Excel, PowerPoint)
Excellent organizational and multitasking skills, with an attention to detail
Friendly, courteous, and have a positive attitude
Strong ability to work independently, and as part of a team
Able to handle sensitive information with the highest degree of integrity and confidentiality.
