We are a growing, fast paced commercial HVAC company seeking to add a full-time Project Accountant to our team. The applicant must be self-starting, organized, trustworthy, reliable, and flexible in job duties.
The Project Accountant will work closely with Project Managers and Finance Manager to monitor the progress of projects, investigate variances, coordinate compliance documents and ensure project billings are issued to customers and payments are collected in a timely manner.
New Projects:
Set up new projects accurately in Sage
Review and process Contracts
Set up Schedule of Values for billing
Order insurance, preliminary notices and bonds (where applicable)
Effectively communicate with PMs regarding contract documents, change orders and other contract modifications, approvals, and any additional services-related to billing
Accounts Receivable/Accounts Payable:
Prepare invoice packages containing invoices for all billable projects, including all applicable backup requested by GC.
Maintain collections of billings and report to the Finance /Project Team
Maintain the billing folders for all projects, with all the appropriate documents, including expenses and monthly invoices, in accordance with standard procedures
Research and resolve billing and/or payment discrepancies
Perform additional assignments, as directed by Finance Manager, Senior Project Manager and Director of Pre-Construction
Manage and maintain Vendor and GC waivers
Intermediate to advanced computer literacy, including experience in word processing, spreadsheets and accounting software
Key Qualifications
Background in construction, accounts receivable and accounts payable - Strongly preferred
Excel knowledge
Knowledge of Sage Accounting Software a plus
Ability to work well with others under deadline situations and respond to changes in priorities
Strong written and verbal communication skills, organizational skills and accuracy
Ability to work independently, take initiative, set priorities and see projects through to completion
Employ problem-solving skills and analysis, and report problems to supervisors, as necessary
Knowledge of the project structure in a General Contractor/Subcontractor business environment a plus
