Function of Job:
Provides bookkeeping, administrative and coordination support to all areas of Haley Construction Company. Works closely with CEO and CFO.
Personal Attributes Needed To Undertake Job:
-Must be able to maintain positive working relationships with all levels of management
-Experience in Construction Accounting and understanding of basic accounting principles strongly preferred
-Experience processing full cycle payroll required
-Proficient in Microsoft Office applications
-Be able to exercise discretion and independent judgment with respect to matters of significance
Characteristic Duties & Responsibilities:
Bookkeeping:
General
-Maintain financial records including purchases, sales, receipts, and payments.
Accounts Payable
-Process and monitor accounts payable
-Verify that transactions are recorded for the correct supplier and ledger
-Control all payments to subcontractors and check license and insurance status of subcontractors before payment
-Monitor signing of subcontractor waivers related to payments
-Process credit card purchases and month end statement
Payroll
-Process weekly payroll and associated payroll taxes
-Quarterly Payroll Tax reporting
-Remit and report retirement plan contributions
Other Accounting
-Balance accounts by reconciling entries
-Manage the accounting system, General Ledger, Accounts Payable/Receivable, Payroll
Office Manager:
Human Resources
-Benefits administration
-New employee preparation, assemble employee binders, and other administrative aspects of the process
-Collect all pertinent hiring documents from new employees
Office Management
-Create, organize, and maintain filing systems
-Assist with special projects as assigned
-Assist in managing and organizing facilities
-Coordinate office schedule and make appointments
-Maintain the company fleet (Verizon Fleet), renew licensing, update insurance cards, maintain maintenance records
Office Administration
-Answering incoming calls and routing them to the appropriate person in the office, voice mail, or the proper jobsite
-Provide mail services including opening, mail pick-ups and deliveries, sorting and posting outgoing mail and distributing
-Maintain inventory of and purchase all office supplies
