Administrative Assistant / Office Staff

Arizona, Phoenix
Aplica ya

If you have ever wanted to have a job where you can really make a difference in other people’s lives, here is your chance!

Musically Fed is a non-profit organization that works to mobilize the music and entertainment industry in the fight against hunger. We work with artists, promoters, management, and venues nationwide to donate unused, backstage meals to community organizations comprised of at least 50% veterans and who focus on feeding people facing homelessness, hunger, and food insecurity.

Musically Fed identifies opportunities, procures the resources, and coordinates all aspects of food handling, transport, and distribution. Our goal is to make it easy for promoters and performers to leave each city they visit with a lasting, positive impact. We are small, productive, and effective!

So, what do we need now? An Administrative Assistant for office support and very light warehouse tasks at Musically Fed and its sister company, Insight Management.

You do not need much job experience and as such, this may be a great fit for students, recent graduates, and parents returning to the workforce while the kids are in school.

The office location is near Hayden and Via De Ventura, in McCormick Ranch, in Scottsdale, AZ. The job is 100% on-site.

The job duties will consist of:

-Administrative Support: Provide general administrative support including scheduling meetings, managing calendars, getting data to the right place, and coordinating travel arrangements.

-Email Support: Monitor and manage incoming emails, prioritize messages, and respond or escalate as needed.

-Organizational Support: Maintain our existing office systems and devise new ones when needed. This includes digital data management, light paper filing, and warehouse organization, with a “keep it tidy” attitude.

-Postal Support: Occasionally pick up, sort, and deal with the mail. Occasionally prep and ship packages via USPS, UPS, and FedEx.

-Task Management: Assist with various projects and tasks as required to support the operations and growth of the company.

Note: as this is a non-profit that deals with food, the warehouse has large commercial refrigerators and freezers, as well as storage racks with required supplies and equipment. Therefore, you must be able to lift and move at least 20 lbs.

Work Schedule:

Full-time 40 hours a week

We want the weekly hours to be generally fixed – which is good for everyone – but you may also be able to sometimes work backstage at a concert or event that happens in the evening or on weekends.

A successful candidate should:

-Have their own reliable transportation.

-Be comfortable making and receiving phone calls. (Yes, texting works, but 95% will be speaking on the phone.)

-Be able to communicate in writing, professionally, with little training. Think: punctuation, grammar, spelling, format.

-Be ready to work in different capacities: as a small person on a big team, as a big person on a small team, driving around with the Executive Director while providing direct support, or totally independent for hours or days at a time.

-Be drug and alcohol free when on the clock, working for our organization.

Jackpot Candidate:

-Has a desire to work in a non-profit setting. AKA, “Aggressively Resourceful”!

-Wants to figure out solutions to problems, and then… solve them!

-Wants to help people and maybe make the world a little bit better.

If it sounds good to you, send us your application because we’d love to meet you. And, if you think you’re the jackpot for us, tell us!
