SEEKING FULL-TIME HUMAN RESOURCE/PAYROLL SPECIALIST FOR FAST PACED HVAC AND PLUMBING CONTRACTOR IN CHANDLER. EXPERIENCE WITH ADP SOFTWARE A PLUS.

1.0 PURPOSE OF POSITION

1.1 The Human Resources/Payroll Clerk is to provide data entry, data review and general clerical support.

2.0 FUNCTIONAL ROLE

2.1 The basic function of this position is to maintain the human resources function of the company. This includes:

2.1.1 Preparing all new employment documentation.

2.1.2 Processing all employee status changes.

2.1.3 Maintaining the Insurance programs.

2.2 An additional function of this position is to support the overall company goals and objectives. This includes:

2.2.1 Complying with policies on performance.

2.2.2 Complying with policies on safety.

2.2.3 Complying with policies on quality.

2.3 An additional function of this position is to support the operations of the company. This includes:

2.3.1 Preparing the employee payroll.

2.3.2 Handling employee inquires.

3.0 REPORTINGRELATIONSHIPS

3.1 The Human Resources/Payroll Clerk reports to the Administrative Manager of the company.

3.2 The following positions report to this position.

3.2.1 None

4.0 REQUIREMENTS

4.1 Education:

4.1.1 Required: A High School Diploma

4.1.2 Preferred: College Studies in Accounting.

4.2 Licensing/Registration/Certification

4.2.1 Required: None

4.2.2 Preferred: ADP PAYROLL SPECIALIST CERTIFICATION

4.3 Experience:

4.3.1 Required: Three years minimum experience in a Human Resources/payroll environment.

4.3.2 Preferred: Six years experience in a Human Resources/payroll environment.

4.4 Skills, Knowledge and Abilities

4.4.1 Demonstrate the proven ability to work within and contribute to a work team.

4.4.2 Must have the ability to respond to inquiries and/or complaints from customers, regulatory agencies or

members of the community.

4.4.3 Must have the ability to compile financial results and understand basic accounting principles.

4.4.4 Must be able to clearly relate financial results to operational performance and plans.

4.4.5 Must have a good mathematical aptitude, good written and verbal communication skills.

4.4.6 Must be able to read, analyze and interpret legal documents and contracts.

4.5 Physical:

4.5.1 Must be able to sit or stand for prolonged periods. This position will be occasionally required to bend

and stoop.

4.5.2 Must have sufficient mobility to navigate through the office and warehouse. Must be able to lift up to

25 pounds.

4.5.3 Must be able to see and hear normal office and warehouse equipment.

4.6 Mental:

4.6.1 Must have the ability to use and understand simple arithmetic, geometric and algebraic equations.

4.6.2 Must be able to effectively communicate with a predominately English-speaking customer base.

4.6.3 Must be able to apply common business sense to complicated operational and organizational matters.

4.6.4 Must be able to work in an enclosed office environment with other people.

4.6.5 Must be able to solve practical problems and deal with a variety of concrete variables where only

limited standardization exists.

4.6.6 Must have basic computer skills and proven ability with spreadsheets.

4.7 Environment:

4.7.1 The office is an environmentally controlled area with no extremes of heat or cold.

5.0 AUTHORITY

5.1 The Human Resources/Payroll Clerk is given sufficient authority to accomplish the responsibilities and

tasks assigned.

6.0 DUTIES AND RESPONSIBILITIES, PERFORMANCEMEASURES

6.1 Prepare a new hire employee package that has all the necessary forms for the employee to complete to

include tax forms.

6.2 Performs a new employee orientation that briefs the employee about company policies and procedures that

must be followed.

6.3 Process all employee changes to include wage and position changes to include terminations and exit

interviews.

6.4 Responds to all requests for employee verification and references.

6.5 Processes and documents all employee insurance claims as required by the insurance carriers and

government regulations.

6.6 Handles all employee benefits to include uniforms.

6.7 Processes payroll to include the verification of wages, commissions and bonuses and submits to the check

writer accurately and on schedule.

6.8 Tracks and documents all employee charge-backs to ensure that all qualified work in properly charged.

6.9 Tracks the employee evaluation process to ensure that employee evaluations are completed on time and

properly filed.

6.10 Demonstrates good judgment and tact in solving problems and difficult situations.

6.11 Seeking guidance and direction as necessary for performance of duties.

6.12 Respects the confidentiality of the company, customers and personnel information.

6.13 Maintaining cooperative working relationships with supervisors and other department personnel.

6.14 Recognizing and performing duties, which need to be performed although not directly assigned, assisting

others as needed.

6.15 Makes the best use of time during working hours. Consistently showing the ability to recognize and deal

with priorities.

6.16 Maintains a well-groomed, professional appearance appropriate for the position and situation. Maintains

work area in a neat and orderly manner.

6.17 Always providing proper notification and advance notice of absence.

Reporting to work on time each day, after lunch and breaks, not leaving early.

6.18 Other duties as required.
