Office Manager Position at Health for Life Naturopathic Medicine
General Description:
Health for Life Naturopathic Medicine is seeking a dedicated, full-time Office Manager to join our growing medical practice. Our office currently hosts three Naturopathic physicians, one physical therapist, and one nurse, with plans for further expansion. We are looking for a compassionate medical office leader with exceptional customer service skills. As the Office Manager, you will be the first and last point of contact for our patients, ensuring they receive the best care possible. Your role will include coaching, developing, and managing our staff, fostering relationships with various stakeholders, and managing the scheduling of the doctors within the practice. Proficiency in QuickBooks is required. Additionally, you will manage logistical elements such as scheduling, contacting clients, and ensuring the efficient operation of our practice.
Key Responsibilities:
People Leadership:
-Ensure staff complete tasks efficiently and timely, provide real-time feedback, and maintain workflow efficiency.
-Delegate duties, follow up on results, and plan daily huddles.
-Encourage staff development, conduct performance reviews, and work closely with the Executive Director and Medical Director.
-Manage certification renewals, clinic policies, and state requirements.
-Develop inter-staff relations and execute marketing plans.
-Screen applicants, support hiring, and occasionally terminate employees.
-Coordinate ongoing externship rotations with MA schools in our area.
Operational Oversight:
-Manage physician scheduling system as a top priority.
-Oversee billing/payroll, office operations, and procedures.
-Maintain and organize filing systems and control correspondence.
-Review and approve supply requisitions and monitor clerical functions.
-Ensure business licenses and OSHA training are up to date.
-Track daily invoice financials, monitor and manage calendars, and assist with patient time management.
-Order supplies, clean and organize the office, and set up vendor meetings.
-Ensure staff training and SOPs are current.
-Manage and oversee patient care using Elation as our primary EMR system.
Administrative Responsibilities:
-Utilize EMR, answer phones, schedule visits, and manage billing/payments.
-Communicate effectively with staff, patients, and vendors.
-Maintain office cleanliness and readiness.
-Work well with children, show readiness to learn, and lift up to 30 lbs.
Minimum Requirements:
-8 years of total work experience with a minimum of 5 years in administrative and medical fields.
-Associate's degree in a related field (Business/Administration/etc.); Bachelor's Degree preferred.
-Exceptional communication skills, with the ability to multitask and manage multiple priorities while meeting deadlines.
-Ability to prioritize a variety of tasks at any given time, and must maintain strong accountability in finishing tasks.
-Proficiency in Microsoft Office (Word, Teams, Excel, Outlook).
-QuickBooks proficiency is mandatory.
-Accounting and EMR experience required.
-Ability to pass a basic math and grammar test (administered during the interview).
-Ability to work independently and as a team member.
-Personable with patients and eager to learn new things.
Wages and Benefits:
-Full-time position, Monday-Friday, 7:30 am-5:00 pm, with major holidays off.
-Salary Range: $56,000-$80,000, negotiable depending on experience.
-After a 90-day probationary period, the employee is eligible for a benefits package which includes a stipend for medical insurance or a healthshare fund of their choice. Paid time off eligibility also starts after 90 days of tenure.
