This position is posted with the full salary range indicating future potential earnings; however, the actual hiring salary for this position is dependent upon relevant experience and qualifications above minimum requirements and position funding. Therefore, all starting salaries above the midpoint require further review and additional approval.

Administrative Duties

DISTINGUISHING FEATURES OF THE WORK

Under direct supervision of the Visitor Center Manager, employees of this class are expected to follow established and well-defined procedures in the handling of visitor requests, database entry, and general supervision of the operation of the Visitor Center at the train station and/or the Express Visitor Center at the Flagstaff Pulliam Airport in the absence of the Visitor Center Manager.

In addition to the Visitor Services Assistant job description, the Visitor Services Specialist entails the following:

Provides excellent customer service to both internal and external customers.

Assists with the CVB’s efforts by responding to local, regional, and statewide requests for information.

Builds relationships with and utilizes existing tourism organizations for partnering opportunities.

May assist with preparation of and participation in local meetings, familiarization tours, or industry functions.

Sends out fulfillment pieces generated through visitor inquiries.

Performs any related duties that further the mission of the Flagstaff Convention and Visitors Bureau.

Assists the CVB with the creation, promotion, and distribution of a Master Calendar, Calendar of Events, and Flagstaff Happenings.

Assists with the establishment of measures to improve visitor services, changes in operations, working conditions, quality of work, and value to stakeholders.

Assists with the preparation of short- and long-range planning and goals for the Visitor Center.

Assists with workshops to train staff and stakeholders on customer service matters.

Assists with interviewing, scheduling and training needed to maintain a professional, customer service oriented staff.

Oversees the maintenance, janitorial and upkeep of the historic train station and reports issues to the Visitor Center Manager.

Keeps the Visitor Center Manager advised of customer service activities through oral and written communications.

Takes turns making weekly trips to the warehouse as needed to bring stock to the Visitor Center.

Maintains a historic sampling of information for visitors viewing and research information that is available on display from the community.

Maintains a volunteer pool and provides training and instruction.

Assists in developing and maintaining electronic tracking and reporting records for Visitor Center statistics.

Performs cash handling procedures including scanning items, collecting payment of cash and cards, and verifying IDs for Alcohol Sales.

Performs related duties as required.

Regular attendance is an essential function of this job to ensure continuity.

Airport Lead

Oversees all aspects of Airport gift shop operations including purchasing inventory, cash handling and fiscal responsibilities, partnering with local vendors, and generating reports for the Visitor Center Manager, Airport director, and Finance.

Maintains lead role in coordinating with Airport staff on inventory decisions, merchandising and generating reports on airport and visitor center revenues.

Assists in Visitor Center manager in maintaining records required by the Arizona Department of Liquor Licensing, including but not limited to ID logs, Acts of Violence, and Refusal of Service Forms.

Qualifications

MINIMUM QUALIFICATIONS

High School Diploma, or General Equivalency Diploma.

Three years of progressively responsible office experience.

Or any combination of education, experience, and training equivalent to the above Minimum Requirements.

OTHER REQUIREMENTS

Must possess, or obtain upon employment, a valid Arizona driver’s license.
