The Administrative Assistant is primarily responsible for:
Being the front-line person for customer service
Primary support person for the Circulation Manager
Supporting the Publisher on an as needed basis
Job Duties / Responsibilities:
Greeting/assisting customers who come into the office
Answering incoming calls and directing to appropriate personnel
Preparing the Daily Postal Report
Creating daily till spreadsheet in Microsoft Excel
Processing incoming mail
Printing invoices and processing daily tear sheets
Counting and posting weekly rack deposits
Downloading weekly comics and puzzles
Photocopying/ filing / faxing
Helping with direct mail publications (stuffing/counting into bundles)
Helping deliver single copy newspapers if there is an unavailable carrier
Competence in use of circulation system, Excel, Microsoft, and other software programs needed for position. Willingness to learn responsibilities for knowing Kodiak Daily Mirror's circulation software to a level that makes you the primary back-up person when the circulation manager is out.Skills / Abilities
Must be able to manage multiple tasks at a time
Must have a friendly, positive attitude and treat everyone with dignity and respect
Must be able to learn/use technology to perform job duties
Must be able to use multiple line phone system to receive, send, and transfer calls
Education / Experience
Customer service experience is a plus
Must have excellent communication skills, both verbal and written
Must have excellent organizational skills and detail-oriented abilities
Must be able to work with others
Must be able to work well under pressure
Job Requirements
Must have a valid driver's license and reliable transportation
Must be able to work well under pressure and meet deadlines
Must be able to adhere to all company policies and procedures
Must be able to follow instructions and work independently on assigned tasks
