Under the direction of the Manager of Housing Services, the Housing Intake Supervisor supervises the Housing Intake Specialists and oversees the eligibility processing and compliance with eligibility restrictions at CIHA owned and managed properties. This position also collaborates with management in the design and implementation of processes, operational procedures, and file review/approval/sign off for Annual Recertification, Move-In, and NAHASDA eligibility requirements. The Housing Intake Specialist Supervisor is responsible for ensuring tenant files remain in compliance with CIHA policies and procedures and applicable regulations.

Major Activities (Typical Duties/Responsibilities)

Provides excellent customer service to both internal and external customers.

Monitor, and train staff on customer service delivery.

Assesses client needs and provides information and/or application for services.

Provides professional supervision of Housing Intake Specialists to include training day to day duties, and evaluation.

Review and approve new residents to ensure eligibility with appropriate program regulations.

Respond to and resolve customer care complaints.

Creates and implements new forms and training materials for staff as needed.

Collaborates with Manager of Housing Services on revisions to current processes or policies.

Tracks/monitors HIS goals, phone calls, lease up progress, tickler system, set aside designations, vacancies, corrections, in order to provide routine reports.

Provide assistance with questions as needed.

Prepares general correspondence as required.

Ensures that the department receives appropriate applicant and tenant data.

Oversee lease up of new properties including marketing, mail outs, tracking, and eligibility processing.

Oversees, monitors, and track re-certification for properties to ensure accurate and timely completion that maintains program compliance.

Monitor property set asides, program rents, vacancies, late and upcoming recerts, tickler system, lease up progress, files returned with corrections, utility allowances and income limits.

Performs periodic file audits to test eligibility and to ensure all required documentation is in place and current for Rental Properties.

Ensure audit reports are complete and responded to in a timely manner.

Maintain and cultivate a good working relationship with Rental Properties staff and all other applicable staff.

Performs other related duties as assigned.

Ability to work independently and well as in a team environment.

Demonstrated supervisory skills

Ability to conduct interviews or training classes on a one-on one basis and group settings.

Ability to effectively prioritize, coordinate and implement best practices and processes for great customer care.

Ability to establish and maintain positive working relationships with a wide variety of employees, management, and business professionals.

Ability to plan and determine work priorities, schedule, supervise and direct the work of Housing Intake Specialists.

Ability to provide excellent customer service and communicate effectively verbally and in writing with clients, staff, and others.

Ability to read, analyze, and interpret CIHA policies and procedures, related Federal and State regulations, and other compliance related documents if necessary.

Knowledge of current office practices and procedures

Ability to operate single and multi-user computers with Tenast, Microsoft Word, Excel, and other software systems proficiently

Education and Experience

Bachelor’s degree preferred; relevant housing experience may be substituted on a year for year basis.

Minimum 3 years direct affordable housing experience

Two or more of the following professional certifications, C3P, NCP, COS

Current AK Driver’s license.
