Summary/Objective

The Supportive Services for Veterans Families (SSVF) Temporary Financial Assistance (TFA) Specialist is responsible for working within the Financial Services department to perform various clerical duties associated with the payment and reconciliation of SSVF Grant - client assistance dollars (TFA - Temporary Financial Assistance) to benefit eligible Veterans and families. This position works closely with grant service coordinators, program directors, other program personnel, and the Finance team to ensure appropriate distribution of grant dollars in compliance with the SSVF grant program guide, various audit requirements, and VOANR financial policies. This position carries out responsibilities in the following functional areas: accounting, accounts payable processing, compliance, software system utilization.

Essential Functions

  • Works with the Directors of SSVF and Service Coordinators to ensure timely processing of client assistance check requests.
  • Coordinate check requests and distribute payments for all SSVF client assistance payments.
  • Reconcile monthly SSVF client assistance payment activity to the general ledger in conformity with grant reporting requirements.
  • Ensure all client assistance payments conform to grant stipulations and that all required authorizations are secured.
  • Coordinates payment requests for other grant disbursement requirements using appropriate protocol.
  • Code check requests in accordance with standard accounting principles and VOANR internal control requirements.
  • Maintain and reconciling travel and mileage logs for grant reimbursement and audit purposes.
  • Acting as a resource to the SSVF program Division Director, Director, and Service Coordinators.
  • Maintaining filing and storage systems for grant records while adhering to audit and record retention requirements.
  • Performing accounting and clerical functions in conformity with all GAAP ( Generally accepted accounting practices ) and regulatory requirements.
  • Ensuring grant accounting records are accurate and maintained according to grant and organizational protocol.
  • Ensuring that all grant reporting requirements are met in accordance with grant stipulations and VOANR internal policy.
  • Completing and submitting grant reports to appropriate agencies while adhering to proper accounting requirements.
  • Working with the Director of Finance and audit firms during various audits.
  • Contributing to the Financial Services team by lending assistance as needed and cross training in other aspects of the department to ensure outstanding service.

Supervisory Responsibility

This position has no direct supervisory responsibilities but does serve as a coach and mentor for other positions in the organization.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, photocopiers, and smartphones.

While performing the duties of this job, the employee is regularly required to talk or hear. Specific vision abilities required by this job include close vision and ability to adjust focus. This would require the ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are generally Monday through Friday, 8:00 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.

Travel

Little to no travel is expected for this position.

Required Education, Experience or Eligibility Qualifications

  • A high school diploma or GED in conjunction with other educational coursework and work experience which will allow the incumbent to be highly effective in meeting the essential job functions and various other demands of the position.

Preferred Education and Experience

  • Associates degree in accounting or related field.
  • Five to eight years of clerical and accounting experience.
