JOB SUMMARY

Directly responsible for the effective supervision and daily operations of the Patient Access unit within the department. This includes the physical locations of Front Registration and MAC Lab Registration. Maintains process and procedures that directly affect the revenue cycle where applicable for registration. Supervises staff in a professional manner, including performance reviews and scheduling. The Supervisor is expected to perform each of these responsibilities at a skilled level of knowledge. This Position provides supervision of staff for both Inpatient Patient Access and Outpatient Registration. Ensures adequate staffing and appropriately trained staff in each area. All functions shall be performed in a competent, high quality, timely and cost-effective manner in accordance with departmental procedures or protocols. Quality is defined as correct, accurate, thorough and age-appropriate. Other performance measures and/or expansion of the above also apply if included below. The Guest Services Supervisor serves as a primary resource and trainer for the Patient Access Department staff and leadership. As the first point of contact for most patients, this position provides key customer services. This position provides services for pre-registration, registration and medical necessity checking directing patients to appropriate sources for follow up as needed. The Patient Access Supervisor is a senior member of the Patient Access Team.

ESSENTIAL JOB FUNCTIONS

  • Assist the Guest Services Patient Accounts Director with execution of departmental goals
  • Oversee day to day operations within the department
  • Excellent interpersonal and organizational skills
  • Demonstrated leadership abilities
  • Supervise the design, development and dissemination of user manuals and reference materials for staff who utilize the registration systems.
  • Supervise the activities of the professional staff who are engaged in providing technical skills and job instruction to staff utilizing the system to enhance performance and minimize failure. Be one of the super users within the hospital for: PMOffice, Emdeon, 3M, Scheduling
  • Identify needs, develop and conduct education, orientation and training and establish evaluation and effectiveness measurements with assistance from Patient Access Trainer.
  • Integral in the new hire selection and interview process
  • Provide direction and support to subordinate staff to ensure effectiveness and efficiency.
  • Supervise specific data quality audit functions that relate to the use of the registration systems.
  • Responsible for dissemination of audit results to management and/or staff to improve the quality of registration information collected.
  • Serve as the Patient Access departmental education and training liaison to other users of the registration systems within the health organization with assistance from Guest Services Trainer.
  • Prepare staff shift schedules
  • Active member of select committee(s) focused on service excellence as determined by Guest Services Patient Accounts Director
  • Continuing Education i.e. Certified Healthcare Access Manager, Medical Terminology, Customer Service Excellence etc.
  • Engages in continuous study of the entire professional field, including best practices, to maintain the professional competence, knowledge, and skills necessary for the satisfactory performance of all assigned responsibilities. Maintains knowledge of rules, regulations, and standards in the field of Access Management training.
  • Attends mandatory meetings and in-services as required for this position.
  • Ensures that required documentation for activities within areas of responsibility is performed in an accurate and timely manner.
  • Ensures that patients, their families, visitors, customers, and staff members are treated with kindness and respect. Demonstrates teamwork and integrity in all work-related activities. Ensures that work performed supports organization’s mission of Superior Quality Personal Care.
  • Anticipates customer needs and supervises the provision of services to all customers, including patients, physicians, hospital departments, and staff.
  • Demonstrates knowledge of hospital safety and infection control policies and procedures, maintaining a safe and clean environment.
  • Researches and resolves problems.
  • Participates in ongoing quality monitoring, policy review, and process improvement activities related to Access Management training services.
  • Ensures that Access Management training services are provided in accordance with state and Federal regulations, organizational policy, and accreditation / compliance requirements.
  • Maintains and updates policy / procedure manuals and training manuals as required. Prepares, maintains, and submits reports as required. Maintains files and records.
  • Performs such individual assignments as management may direct.
  • Establishes and maintains effective working relationships within the organization.
  • Provides information to senior levels of management on the implication of policies and procedures being formulated and recommends specific action.
  • Kronos adjustments daily and bi-weekly payroll approval.
  • Ensures daily duties are performed by Guest Services staff.
  • Assist Manager with annual budget process.
  • Assist Manager with maintaining annual budget weekly.
  • Assist Manger with annual and 90 day evaluations.

POSITION QUALIFICATIONS

Education / Experience / License and Certifications

  • High school diploma or general equivalency diploma (GED), required.
  • Associates degree in business-related field or its equivalent in terms of experience.
  • Previous team leader experience, preferred.
  • Experience developing and implementing training programs, preferred.
