Position DescriptionThe Administrative Secretary, Senior performs highly responsible administrative and clerical/secretarial duties in support of the Departments of Communications, Media Studies, and Regents of Bachelor of Fine Arts.

This is a non-classified, non-essential, FLSA non-exempt, full-time, benefits eligible position.

Responsibilities for the Administrative Secretary, Senior

  • Provide assistance and information regarding the university to staff, students, faculty, and visitors.
  • Maintain official and confidential records including those related to grades, graduation, student and faculty issues, correspondence, and course registration. Input class schedule into Banner System.
  • Coordinate meetings and events (Media Summit, Tower Awards, Visits, Travel and etc).
  • Draft reports and correspondence, respond to written and oral information request.
  • Responsible for state purchasing card for the all three department which includes all purchases for the department, prior pre-approval before purchasing items (except for paper for Xerox copier), purchase orders, responsible for doing monthly Log Sheet, and keep record of department budget.
  • Make travel arrangements and hotel accommodations for the Departments. Prepare/process appropriate forms for travel authorization and reimbursement for the Departments.
  • Act as Recording Secretary at committee meetings.
  • Contact publishing representatives to obtain desk copies.
  • Maintain listings of classroom schedules and office hours for faculty. Maintain academic calendar, and prepare, distribute and process mail.
  • Process adjunct faculty recommendation forms.
  • Maintain copy machine and other office equipment.
  • Maintain database for contact list for all students, advisees, outside contacts, employees, and internship locations.
  • Clerical and managerial work for the department, collect and dispense applications (Media Studies and Internships)
  • Assist with planning events and special projects.
  • Provide training for work-study and/or student workers. Maintain calendars and process mail.
  • This position will devote 25% of administrative efforts to the Regents Bachelor of Arts day-to-day operations and 75% of administrative effort to Communications and Media Studies day-to-day operations.
  • Perform other work duties as assigned. Any omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Requirements for the Administrative Secretary, Senior This position requires vocational or technical training in a business or secretarial training obtained through a post-high school program of up to eighteen (18) months; additional education is desirable. This position also requires a minimum of two (2) years’ experience in a directly related field. Additional years of qualified experience may be substituted for the required education on a year for year basis. It requires knowledge of Microsoft Office, especially Word and Excel. Ability to use computerized textbooks, test banks, knowledge of English, grammar, spelling, punctuation, and sentence structure; knowledge of office procedures, practices, and protocol, including confidentiality, and excellent communications skills.

Salary StatementThis position is a pay-grade 3. The annual salary for this position is $25,600.00.
