Job Summary

The Assistant Director of Operations provides administrative leadership and management of student development and engagement through collaborating and supervising the Operations area within the department of Student Union & Activities including Student Union Custodial, Building Services and Event Support Services. This position maintains close working relationships with Student Success, University Departments, public agencies and the general public. This position works within the framework emphasizing out-of-class learning opportunities for students through extra and co-curricular programs and services with a continuing commitment to social development, education, leadership development, diversity and inclusion. All employees are expected to support CWU’s commitment to diversity and to bring and support inclusion into the university environment.

Job Duties

Programs & Services:

- Provide support and supervision for Building Services, Student Union Custodial, and Event Support Services.

- Direct the priorities and needs of equipment purchases.

- Recommend development of services and improvements for areas of supervision.

- Oversee the visual appearance of the Student Union.

- Develop, propose, present and justify allocations to the Services and Activities Fee Committee (S&A) for the Student Union Custodial budget.

- Maintain and increase the use of technology (scheduling software, social media, inventory and tracking, etc.) throughout the Student Union.

- Build leadership opportunities by creating graduate assistant, intern, and practicum student positions.

- Provide risk management oversight for events scheduled in the Student Union; assist Director with Student Union risk management as a whole.

- In conjunction with the Director of the Student Union, review contracts within the supervised program areas.

- Maintain, examine and increase the efficiency of the accounting processes for all areas of responsibility. Provide information for internal and external audits and ensure compliance with university standards.

- Interact, guide and direct student organizations on events and programs by providing advisement and mentoring.

- Develop cohesive training programs for student employees in the student union that identify desired learning outcomes.

- Develop, coordinate, and facilitate internal recognition processes and programs for student employees within the Student Union. Evaluate impact based on learning objectives and outcomes.

- Investigate and resolve conflicts between students, employees and clientele in collaboration with the Student Union management team and Human Resources.

- Establish and maintain collaborations across the university campus including serving on university committees.

- Coordinate with various groups that visit campus.

- Collaborate with both on and off campus entities to advance the program, services, and image of the Student Union, Student Success and CWU.

- Provide back-up support to the Director, Student Union & Activities.

Assessment and Policy:

- Participate in the development and review of policies and procedures to ensure consistency throughout the Student Union and the university.

- Develop policies and practices related to internal areas of responsibility.

- Oversight of internal and external billings, records and reports that meet university compliance standards. Receives university audits and makes recommendations for improving operations and resolving issues.

- Assists with the process to assess and analyze programs and functions in order to ensure consistency with stated goals and objectives associated with the mission and strategic plan.

- Assist with department assessment related to program functions, stated goals and objectives of supervised areas. Participate in Assessment Teams.

Supervisor Duties

- Actively engages in recruitment and hiring new employees;

- Clearly defines performance expectations, ensure accountability, and provides ongoing informal feedback, coaching, and mentoring. Conducts formal performance evaluations;

- Ensures employees have necessary resources;

- Oversees and directs the work of staff; serves as mentor, coach and leader, and resolves complaints or issues;

- Develops and fosters supportive working relationships, motivation and engagement;

- Communicates information to staff on an ongoing basis to influence staff engagement and to be a part of a larger community;

- Takes corrective action in a timely manner;

- Schedules employee work hours/shifts; monitor hours worked; approve payable time and absence requests;

- Adjusts leadership style as needed to achieve results;

Minimum Qualifications

Bachelor’s Degree in business, recreation and tourism, event planning or related field /OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position.

Experience in higher education, student activities, programs, events and/or facilities.

Demonstrated supervisory experience working with students and/or staff from a wide range of abilities, backgrounds and experiences.

Supervisory and leadership experience.

Excellent customer service skills that demonstrate ability to work effectively with a variety of diverse groups.

Risk management knowledge and experience.

Demonstrated interpersonal and conflict resolution skills and excellent oral and written communication skills.

Experience using Microsoft (Word, Excel, PowerPoint, etc.) email.

Preferred Qualifications

Master’s Degree in Student Affairs, Higher Education Leadership, Communications or a related field.

Increasingly responsible Student Life work experience.

Budget management experience, including forecasting/preparation.

Experience developing short and long-range plans for financial and programmatic improvements.

Strong entrepreneurial skills and demonstrated ability to maximize revenue through appropriate design, development, staffing and marketing.

Experience working with Collective Bargaining Agreements and Unions members.

R25/25 Live Scheduling or similar software.

Experience working with a higher education Student Financial Services system.

Experience or interest in mentoring students from a variety of backgrounds.

Demonstrated participation in programs designed to promote inclusion.

Pay, Benefits, & Work Schedule

Salary: Dependent upon qualifications and experience

Schedule/Appointment: Monday - Friday, 7:00am-4:00pm (1 hour lunch)

Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer work station for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.

Involves combination of office/computer work settings, as well as physical presence in and around the Student Union facility. It is essential to be able to meet physical demands of remaining at a desk/computer work station for prolonged periods of time, using repetitive arm, hand and finger movements. Some stooping, kneeling, bending, crouching, lifting, walking, carrying or moving objects and other movements may be required. Evening and weekend work and/or occasional travel may be expected based on changing needs, requirements, deadlines and budgeting constraints. This position may be required to spend time outdoors.
